Send Contracts and Collect Signatures

Create and send documents or contracts inside Kyrios so agreements can be signed, tracked, and stored with the customer record.

Documents & Contracts lets you create agreements, send them to customers, collect signatures, and keep everything attached to the right contact.

No chasing PDFs. No digging through email threads. No “did they sign it yet?” guessing. Humanity survives another paperwork crisis.

Why this matters

Revenue often slows down after someone says yes. Not because the deal is dead.

Because the paperwork gets messy:

  • the contract is in a folder somewhere

  • the customer has not signed yet

  • the wrong version gets sent

  • someone forgets to follow up

  • the signed copy does not get saved where the team can find it

Kyrios keeps that process inside the system. The agreement, signature status, and final signed document stay connected to the contact.

What you will do

You will:

  1. Open Documents & Contracts

  2. Create or use a template

  3. Add customer and signing details

  4. Send the document

  5. Track the status

  6. Confirm the signed copy is saved

Where to go

Start from the main Payments area.

  1. Click Payments in the main navigation

  2. Open Documents & Contracts

  3. Choose one of the available options:

    • All Documents & Contracts

    • Templates

To create a new document or contract:

  1. Go to Payments → Documents & Contracts → All Documents & Contracts

  2. Click + New

  3. Create a new document


    Kyrios documents and contracts works similar to a Word document. You can drag and drop sections as needed.

  4. If you have existing text that you would like to copy and paste into the system, drag a Text Box to the screen and paste your text or type what is needed.

  5. Add signature fields and any required information

  6. Review the document

  7. Add the customer or recipient

  8. Send it for signature

You can also review documents from a contact record when you are already working with a specific customer.

Step 1 — Start with a template when possible

Templates help keep agreements consistent. When you create any document or contract, you can save that as a template to reuse any time necessary.

Use a template when you send the same type of document more than once, such as:

  • service agreements

  • contracts

  • estimates that need approval

  • onboarding documents

  • authorization forms

This keeps you from rebuilding the same document every time.

Step 2 — Add dynamic information

Kyrios documents can use contact information and custom values.

That means the system can pull in information like:

  • business details

  • contact details

  • opportunity information

  • dates

  • pricing

  • signer information

This helps keep documents accurate and connected to the rest of the system.

Step 3 — Add signature fields

Use eSignature fields where a customer, staff member, or other signer needs to sign.

You can also use fillable fields for information that needs to be completed before signing.

Step 4 — Send the document

Once the document is ready:

  1. Review the preview

  2. Confirm the recipient

  3. Send the document

The customer receives the document and can complete the signing process electronically.

Step 5 — Track status

After sending, you can track whether the document is:

  • draft

  • sent

  • viewed

  • completed

  • signed

This gives you visibility without chasing the customer manually.

What happens after signing

Once the document is signed:

  • signed copies are sent to the signers

  • the completed document is attached to the contact record

  • your team can review it later from the contact or Documents & Contracts area

What to ignore for now

You do not need to start with:

  • workflow triggers for documents

  • automated document sending

  • optional product items

  • advanced global settings

  • complex signing rules

Those are useful later. Right now, the goal is send an agreement, collect the signature, and keep it attached to the customer.

Important note

Documents and contracts are part of your revenue process. They help turn “yes” into a signed agreement without adding more manual tracking.

Start with one reusable document. Send it. Track it.

Once that works, paperwork stops being a loose end and becomes part of the system.

Final Note: As you get more advanced, you can attach document and contract templates to Kyrios workflows to fill and send them automatically.
