  • Multiple people to sign the same document or contract

  • Approval from different stakeholders on one document

  • A trackable, legally signed document stored in Kyrios

Overview of the Process

Kyrios allows you to create documents and contracts that include:

  • Product pricing and descriptions

  • Multiple signature fields

  • Assigned recipients for each signature

Once sent, you can track the document’s status until all required signatures are completed.

Step-by-Step Guide

Setting Up Your Template

1. Navigate to Documents and Contracts

  • Go to Payments

  • Select Documents and Contracts

  • Click Templates to begin creating a new document template

2. Create a Blank Template

  • Click Create New

  • Choose Blank Template, or import a template from the template library

  • Enter a clear title, such as:

    • Proposal for Project X

    • Estimate for Services

Adding Products and Pricing

1. Add Product List Element

  • In the left-side editor menu, locate Product List

  • Drag and drop it into your template

  • A pricing table is added where you can define:

    • Items

    • Prices

    • Quantities

    • Total amount

2. Customize the Product Details

  • Select products from your existing inventory or create new ones

  • Edit:

    • Product names

    • Descriptions

    • Pricing details

  • Ensure all estimate details are accurate before sending

Adding Signature Fields

1. Add Signature Fields for Multiple Recipients

  • From the left-hand menu, drag and drop the Signature element

  • Add one signature field for each required signer

  • Example:

    • Two signature fields = two different signers

  • Signature fields are assigned to recipients in the next step

Assigning Recipients

1. Save and Assign Recipients

  • Save your template

  • Click the Recipients tab

  • Assign each signature field to a contact from your contact list

2. Add Additional Signers

  • Confirm each signature field is linked to the correct recipient

  • Assign second or additional recipients to their respective signature fields

3. Assign to Sender

  • Instead of selecting a specific person, you can assign a signature field to Sender

  • When the template is used:

    • The signature automatically assigns to the team member sending the document

Important Workflow Note:
In workflows, the Sender field remains tied to the business user who last edited the document. This is because workflows are typically triggered by contacts and may not map to a specific sender.

Sending the Document

1. Send via Email or Link

  • Send the document via:

    • Email, or

    • Individual signing links

  • Each recipient receives a unique link

  • Recipients can only sign their assigned fields

2. Tracking Document Progress

  • Go to Documents and Contracts

  • View document status:

    • Sent

    • Viewed

    • Signed

  • Track completion until all required signatures are collected

Can I assign multiple people to sign the same document?

Yes. Add multiple signature fields and assign each one to a different recipient.

How do I know if my document has been signed?

You can view the document status in the Documents and Contracts dashboard, which shows whether it has been viewed or signed.

Can each recipient sign separately?

Yes. Each recipient receives their own unique email or signing link and can only sign their assigned section.

Can I download the document once all signatures are collected?

Yes. Once all parties have signed, you can download a completed PDF version of the document.

Can I edit the document after it has been sent?

No. Documents cannot be edited after they are sent. To make changes, you must create and send a new document.

How do signature fields get assigned when using a template?

When creating a template, you can assign a signature field to Sender. When the template is used, the signature automatically assigns to the team member sending the document.

Can the document be integrated into a workflow?

Yes. However, in workflows, the Sender field remains tied to the last business user who edited the document, not the person triggering the workflow.

How do I add pricing and items to my document or contract?

Use the Product List element from the left-side menu. Drag and drop it into your template to add items, prices, and quantities.
