Who This Is For / When to Use

This action is for teams that need to send contracts, proposals, agreements, or other documents automatically at specific points in a customer journey, such as onboarding, approvals, renewals, or project start.

What the Send Documents & Contracts Action Does

The Send Documents & Contracts action generates a document from a selected template when a workflow runs and either sends it immediately or saves it as a draft for review.

The action supports dynamic sender assignment, multiple delivery channels, and controlled sending modes to reduce manual effort while maintaining accuracy.

Requirements Before Using This Action

The Send Documents & Contracts action requires the following:

  • At least one Documents & Contracts template created

  • A workflow trigger that determines when the document should be created

  • A valid From User selected in the workflow

If these requirements are not met, the action cannot be saved or executed.

How to Access the Send Documents & Contracts Action

You can add this action from the Workflow Builder.

  1. Navigate to Automation → Workflows.

  2. Create a new workflow or edit an existing one.

  3. Click + Add Action.

  4. Search for and select Send Documents & Contracts.

Action Configuration Fields Explained

Each field in the Send Documents & Contracts action controls how the document is created, assigned, and delivered.

Action Name

The Action Name labels this step inside the workflow and does not affect the document sent to the contact.

Use descriptive names to make workflows easier to manage.

From User

The From User defines which Kyrios user is treated as the sender of the document and notifications.

This field is required and is also used when dynamically assigning sender-related fields inside document templates.

Template

The Template field determines which document or contract template is used to generate the document.

Only published templates appear in this list.

Sending Mode

The Sending Mode controls whether the document is sent immediately or saved for review.

Available options:

  • Send Directly: The document is sent automatically when the workflow runs.

  • Create as Draft: The document is saved as a draft for manual review and approval.

Channel

The Channel defines how the document is delivered to the contact.

Available options:

  • Email

  • SMS

  • Email & SMS

Assign Sender Fields To

This setting determines how sender-related fillable fields inside the template are populated.

Available options:

  • From User: Uses the workflow’s From User as the signer or sender.

  • Template Owner: Uses the user who last edited the template.

This option only appears if the selected template includes fillable fields assigned to Sender.

Using Dynamic Sender Templates

Templates can include fillable fields (such as signatures) assigned to Sender.

When such a template is selected:

  • Kyrios automatically checks for sender-assigned fields

  • The Assign Sender Fields To option becomes available

Creating Templates with Sender Fields

To use dynamic sender assignment, the template must be configured correctly.

  1. Go to Documents & Contracts → Templates.

  2. Create or edit a template.

  3. Add a signature or fillable field.

  4. Set To be signed by to Sender.

  5. Save and publish the template.

What Happens After the Workflow Runs

The result depends on the selected Sending Mode.

  • Send Directly: The document is sent immediately to the contact.

  • Create as Draft: The document is saved in Draft status for review.

Draft documents appear in Documents & Contracts → Drafts.

Publishing and Testing the Workflow

After configuring the action:

  1. Save the workflow.

  2. Use Test Workflow to validate behavior.

  3. Publish the workflow to activate it.

Common Issues and Fixes

Template Does Not Appear in the List

Cause: The template is not published or was deleted.

Fix: Publish the template in Documents & Contracts → Templates.

Assign Sender Fields Option Is Missing

Cause: The selected template does not include sender-assigned fillable fields.

Fix: Edit the template and assign at least one field to Sender.

Document Is Not Sent

Cause: Workflow is still in Draft or Sending Mode is set incorrectly.

Fix: Publish the workflow and confirm the Sending Mode selection.

Frequently Asked Questions

Can I send multiple documents in one action?

No. Each Send Documents & Contracts action supports one template. Multiple documents require multiple actions.

Can I use this action for proposals or agreements?

Yes. Any document type can be sent as long as it is created as a template.

Can I review documents before sending?

Yes. Use Create as Draft to review documents before delivery.

Can documents be personalized per contact?

Yes. Templates support dynamic fields such as contact name, company, and custom fields.
