Documents & Contracts: Assigning Staff in Templates

Admins can now assign signature fields to any staff member directly inside document templates, instead of being limited to Contact, Sender, or themselves.

Use this feature when you need a specific team member to be the designated signer in a document template.

What’s Changed

Previous Behavior

When configuring a signature field in a template, Admins could only assign:

  • Contact

  • Sender

  • Themselves

This prevented assigning business-side signatures to a specific staff member if they were not the Sender.

New Behavior

Admins can now:

  • Access the full staff list inside the template editor

  • Select any team member under “To be signed by”

  • Assign signature fields directly to the selected staff member

This allows precise control over who signs documents on the business side.

How to Assign a Staff Member in a Template

  1. Go to Payments → Documents & Contracts → Templates.

  2. Create a new template or edit an existing one.

  3. Add a Signature field (or select an existing signature field).

  4. In the right-side Properties panel, click “To be signed by.”

  5. Select the appropriate team member from the staff list.

  6. Click Save or Publish.

The selected staff member will now be the assigned signer when the document is sent.

How It Works When the Document Is Sent

  • The assigned staff member is automatically designated as the signer.

  • The signature field is locked to that selected user.

  • Notifications and signing access follow standard document workflows.

No manual reassignment is required at send time.

Common Issues and Fixes

Staff Member Not Visible in the List

Cause: The user may not be added to the account as a team member.
Fix: Add the user under Settings → Team Management before editing the template.

Wrong Signer Assigned in Sent Document

Cause: The template was not updated before sending.
Fix: Edit the template, update the “To be signed by” field, save, and resend the document.

Why This Update Matters

  • Removes dependency on only “Sender” or “Contact.”

  • Enables accurate business-side signatory assignment.

Can I assign different staff members to different signature fields?

Yes. Each signature field can be configured independently using the “To be signed by” dropdown.

Can I still use “Sender” or “Contact” as signers?

Yes. Those options remain available alongside the full staff list.

Does this change affect existing templates?

No. Existing templates remain unchanged unless manually edited.

What happens if the assigned staff member is removed from the account?

The document may fail to send or require reassignment. Update the template to select an active staff member before sending new documents.
