What Is Documents & Contracts?

Documents & Contracts is a built-in Kyrios tool for creating, sending, signing, tracking, and managing agreements from the Payments section.

Access Documents & Contracts

To open the Documents & Contracts dashboard:

  1. Go to Payments.

  2. Click Documents & Contracts.

  3. Select All Documents & Contracts.


Dashboard Overview

The Documents & Contracts dashboard shows all documents, proposals, estimates, and contracts in one place.

Use the dashboard to review:

  • Draft documents

  • Documents waiting for others

  • Completed documents

  • Documents with payments

  • Archived documents

Each row displays key information such as title, status, customer, date modified, and value.


Filter Documents by Date

Use the date filter to narrow the dashboard by document date.

To filter documents:

  1. Click the Start Date field.

  2. Select the start date.

  3. Select the end date.

  4. Review the filtered document list.


Create a New Document

You can create a document from scratch, upload a PDF, or import a template.

To create a document:

  1. Click + New.

  2. Select one option:

    • New Document

    • Upload existing PDFs

    • Import from template library


Add Elements and Fillable Fields

The document editor includes blocks and fillable fields.

Use Add an Element to insert:

  • Text

  • Image

  • Video

  • Table

  • Product list

  • Page break

  • Signature

  • Text Field

  • Date

  • Initials

  • Checkbox

After adding a fillable field, assign it to the correct signer when required.


Manage Pages

Use the Pages panel to manage multi-page documents.

You can:

  • View document pages

  • Add pages

  • Navigate between pages

  • Reorder pages when supported

  • Review uploaded PDF pages


Use Document Variables

Document variables are dynamic placeholders that populate document information automatically.

Examples include:

  • Document created date

  • Document reference number

  • Account name

  • Custom fields

Use variables to avoid manually entering repeated business or customer details.


Use the Content Library

The Content Library stores reusable document content. Use the Content Library to:

  • Reuse saved sections

  • Reuse saved pages

  • Insert commonly used contract language

  • Speed up document creation

Saved content can be inserted into new documents or templates and edited after insertion.


Add Recipients

Recipients define who receives or signs the document.

Use the Recipients panel to:

  • Add the primary client

  • Add more recipients

  • Set a signing order

  • Choose whether recipients sign sequentially

  • Assign fields to the correct signer


Configure Payment Settings

Payment Settings allow you to collect payment as part of the document process.

You can configure:

  • One-time payments

  • Recurring payments

  • Direct payment after signing

  • Invoice sending after signing

  • Live payment mode

  • Autopay settings

  • Payment schedules


Edit the Send Email Before Sending

Before sending a document, review the send modal.

Use this step to:

  • Confirm the document name

  • Confirm recipient email addresses

  • Add CC recipients

  • Select an email template

  • Edit the email preview

  • Send the document


Configure Document Settings

Document Settings control how the document email and post-signing experience work.

Use Document Settings to:

  • Override the default email configuration

  • Set From Name

  • Set From Email

  • Update the email subject

  • Choose an email template

  • Redirect the recipient to a custom URL after signing

  • Add attachments


Use the Editor Action Menu

The three-dot menu inside the editor provides document-level actions.

Available actions may include:

  • Mark as Completed

  • Download PDF

  • Convert to Template

  • Add Expiry

  • Delete


Send or Share the Document

When the document is ready, click Send.

You can choose:

  • Send Document

  • Share via link

Use Send Document when Kyrios should email the document to the recipient. Use Share via link when you want to copy and send the document link manually.


Workflow Automation

Documents & Contracts can be used with workflows to automate follow-up and internal processes.

Workflow triggers may be based on events such as:

  • Document created

  • Document sent

  • Document viewed

  • Document signed

  • Document completed

Use workflow automation to notify users, send reminders, update contact records, or move deals forward after document activity.


Common Issues and Fixes

A document stays in Waiting for others

The document remains in Waiting for others until every required recipient completes their assigned fields.

A sent document does not update after I edit the template

Template edits only apply to future documents created from that template. Already sent documents have not changed.

A recipient cannot sign the document

Check that the required signature, initials, text, date, or checkbox fields are assigned to the correct recipient.

Payment is not available in the document

Confirm that payment settings are configured and that the account has a connected payment provider.

FAQ

What happens if a client partially signs but does not complete the document?

If multiple signers are assigned and only some complete their fields, the document remains in Waiting for others. The document moves to Completed only after every required signer finishes.

How secure are e-signatures and payment details?

Documents use secure online delivery and signature tracking. Payment details are processed through the connected payment provider.

Can I create conditional content in documents?

No. Documents are static once created. Create separate templates when different versions are needed.

What happens if I edit a template after sending a document?

Editing a template does not change documents that were already sent. Changes only apply to future documents created from that template.

Can I accept payments in a document?

Yes. Use Payment Settings to configure payment collection, invoice sending, recurring billing, or one-time payments.

How do expiry dates work?

Use the editor action menu to add an expiry date. After the expiry date passes, the document can no longer be signed.

Can workflows trigger based on a specific template?

Yes. Workflows can use document-related filters such as document status and template name when those options are available in the workflow builder.
