Schedule an Email Campaign in Batches

Batch scheduling sends an email campaign to groups of recipients at controlled intervals instead of delivering the entire campaign at once.

What Batch Scheduling Does

Batch scheduling, also called batch delivery or drip mode, divides the campaign audience into smaller groups. You define:

  • The campaign start date and time.

  • The number of recipients in each batch.

  • How often a new batch is sent.

  • Which days of the week can be used.

  • The daily start and end times for delivery.

Batch Quantity is the number of emails sent in each batch. It is not the total number of batches. For example, a campaign with 10,000 recipients and a Batch Quantity of 1,000 is delivered in 10 batches of 1,000 emails.


Before You Begin

Confirm the following requirements before scheduling the campaign:

  • The email campaign content has been created.

  • The sender domain has been verified.

  • The sender email address is available.

  • The recipient list or Smart List is ready.

  • The campaign time zone has been confirmed.

  • The email has been previewed and tested.

A verified sender domain is recommended because a mismatch between the sender domain and sender email domain can increase the risk of spam filtering or delivery blocking.


Open the Email Campaigns Page

  1. In the main navigation, select Marketing.

  2. Select Emails.

  3. Select the Campaigns tab.

  4. Confirm that Email Campaigns is selected.

The Campaigns page displays draft, scheduled, completed, and canceled email campaigns.


Create or Open an Email Campaign

  1. From the Email Campaigns page, complete one of the following:

    • Select New to create a campaign.

    • Select the edit icon beside an existing draft campaign.

  2. Enter a clear campaign name when creating a new campaign.

A new campaign may initially display a default name such as Untitled campaign name. Rename the campaign before scheduling it so it can be identified later.


Build and Test the Email

  1. Build the email using the available content elements.

  2. Add the required text, images, buttons, links, and other content.

  3. Use the desktop and mobile controls to review the design at different screen sizes.

  4. Select Preview to review the email before sending.

  5. Open the three-dot menu and select Test Email to send a test copy.

  6. Correct any formatting, content, or link issues found during testing.

Testing the email does not schedule or send the campaign to the selected audience.


Open the Send or Schedule Settings

After the email content is complete:

  1. Select Send or Schedule in the upper-right corner of the Email Builder.

  2. Wait for the delivery settings page to open.

The delivery settings page provides multiple sending options, including immediate delivery, standard scheduling, batch scheduling, RSS scheduling, and Smart Send.


Configure the Batch Schedule

  1. Select Batch Schedule.

  2. In Start On, select the date and time when batch processing should begin.

  3. In Batch Quantity, enter the number of emails that should be sent in each batch.

  4. In Repeat After, enter the interval between batches.

  5. Select the interval unit, such as minutes, hours, or days.

  6. Under Send On, select the days when the campaign is allowed to send.

  7. Under Specify start and end time, select the daily delivery window.

Only the selected days and times are used for batch delivery. For example, when Tuesday through Friday are selected with a delivery window of 10:30 AM through 5:15 PM, batches are sent only during that window on those days.


Understand the Batch Schedule Fields

Start On

Start On determines when the batch campaign becomes eligible to begin sending.

The date and time use the time zone displayed beside the field.

Batch Quantity

Batch Quantity determines the number of emails sent in each batch.

A quantity of 100 means that up to 100 emails are sent in each batch.

Repeat After

Repeat After determines the delay between batches.

For example:

  • 1 hour Sends the next batch one hour after the previous batch.

  • 30 minutes Sends the next batch after 30 minutes.

  • 1 day Sends the next eligible batch one day later, subject to the selected delivery days and times.

When an older saved draft contains an interval in seconds that is no longer valid, the value may be cleared automatically to prevent a scheduling error.

Send On

Send On controls the days of the week when delivery is permitted.

Clear any day when the campaign must not send.

Start and End Time

The start and end times define the permitted delivery window for each selected day.

The end time must be later than the start time.


Complete the Sender and Recipient Settings

After configuring the batch schedule, complete the remaining campaign details:

  1. Enter the Sender Name recipients should see.

  2. Select a verified Sender Domain.

  3. Enter the Sender Email address.

  4. Enter the Subject line.

  5. Add optional Preview Text.

  6. Under Recipient (To), choose the contacts, Smart Lists, or segments that should receive the campaign.

  7. Review any warnings or required-field notices.

  8. Open Additional Settings when more campaign controls are needed.

The campaign cannot be scheduled until all required fields are complete.


Review and Schedule the Campaign

Before scheduling:

  1. Confirm the campaign start date.

  2. Confirm the displayed time zone.

  3. Confirm the Batch Quantity.

  4. Confirm the interval between batches.

  5. Confirm the selected sending days.

  6. Confirm the daily start and end times.

  7. Confirm the sender's details.

  8. Confirm the subject line and preview text.

  9. Confirm the selected recipients.

  10. Select Review and Schedule.

  11. Review the final campaign summary.

  12. Confirm the schedule.

The campaign enters the scheduled state after confirmation.


Batch Schedule Validation Rules

Kyrios validates the daily delivery window before allowing the campaign to be scheduled.

The end time is earlier than the start time

An inline error appears under the end-time field: End time can't be before start time.

Change the end time so it occurs after the start time.

The start time is invalid for the selected end time

An inline prompt appears under the start-time field: Please enter a valid start time. Select a valid start time and confirm the change.

The scheduling controls remain disabled

The scheduling controls remain unavailable until all time validation errors are corrected.

The schedule crosses midnight

Midnight boundaries are processed without creating a false validation error when the selected values form a supported delivery window.


Edit a Scheduled Batch Campaign

A scheduled batch campaign can be edited only while the campaign is still eligible for changes. To edit campaign content:

  1. Open Marketing > Emails > Campaigns.

  2. Locate the scheduled batch campaign.

  3. Open the campaign actions menu.

  4. Select Update Email Content.

  5. Edit the email.

  6. Select Save edits.

Content changes should be completed before the campaign enters the execution queue. Saving an edit does not guarantee that a last-minute change will be applied after campaign processing has already started.


Reschedule a Batch Campaign

Batch campaigns can be rescheduled up to 60 minutes before the scheduled execution time. For example, a campaign scheduled for 11:00 AM can be rescheduled until 10:00 AM in the campaign time zone. To reschedule a campaign:

  1. Open Marketing > Emails > Campaigns.

  2. Locate the scheduled campaign.

  3. Open the campaign actions menu.

  4. Select Reschedule Campaign.

  5. Update the delivery date, time, or delivery method.

  6. Confirm the campaign as rescheduled.

  7. Save the updated settings.

The reschedule option may no longer be available once the campaign is within 60 minutes of execution.


Delete a Scheduled Campaign

A scheduled campaign can be deleted before execution when the delete option is available. Deleting the scheduled campaign prevents the remaining scheduled delivery from occurring. Review the campaign name and execution time carefully before deleting it.


Batch Sending Rate Limits

The following sending limits apply to drip-mode delivery:

  • For intervals from 30 seconds through 1 minute: up to 1,000 messages per minute.

  • For a 5-minute interval: up to 4,999 messages per minute.

  • For intervals from 6 through 10 minutes: up to 5,000 messages per minute.

  • For intervals longer than 10 minutes: up to 10,000 messages per minute.

Configure the Batch Quantity and interval so the campaign remains within the applicable sending limit.


Common Issues and Fixes

The Send or Schedule button is unavailable

Confirm that the email content has been saved and that all required campaign fields are complete.

The campaign cannot be scheduled

Check for validation errors in the start time, end time, sender information, recipient selection, or subject line.

The end-time field displays an error

Set the end time later than the start time.

The sender domain mismatch warning appears

Choose a verified sender domain that matches the domain used by the sender email address. The campaign may still be allowed to continue, but matching domains can improve deliverability.

No recipients are selected

Choose contacts, a Smart List, a prebuilt segment, or a custom segment under Recipient (To).

The campaign is sending on an unwanted day

Open the batch schedule and clear that day under Send On.

The campaign is sending too quickly

Reduce the Batch Quantity or increase the Repeat After interval.

The reschedule option is missing

The campaign may be within 60 minutes of its execution time or may have already entered processing.

FAQ

Can I edit the content of an ongoing batch campaign?

Yes. Open the scheduled campaign and select Update Email Content. Make the changes and select Save edits. The changes should be saved before the next execution enters the processing queue. A content update made too close to execution may not be applied to the next batch.

Will editing the email content reset the campaign statistics?

Editing the content does not require creating a separate campaign. Existing campaign reporting remains associated with the scheduled campaign.

Can I reschedule a batch campaign?

Yes. A batch campaign can be rescheduled until 60 minutes before its execution time.

Can I change the delivery method while rescheduling?

Yes. The reschedule settings can allow the campaign date, time, and delivery method to be updated before the rescheduling deadline.

Can an RSS campaign also be rescheduled?

Yes. Simple Schedule, Batch Schedule, and RSS Schedule campaigns can be rescheduled until 60 minutes before execution.

What does Batch Quantity mean?

Batch Quantity is the number of emails that will be sent in each batch.

It does not represent the total number of batches.

Does batch scheduling send on unselected days?

No. Delivery occurs only on the days selected under Send On.

What happens outside the selected daily delivery window?

No new batch is sent outside the configured start and end times. Delivery resumes during the next eligible sending window.

Why are the scheduling controls disabled?

The scheduling controls remain disabled when required fields are missing or when the batch schedule contains an invalid start or end time.

Which time zone does the batch schedule use?

The campaign uses the time zone displayed beside the Start On field. Review that time zone before confirming the schedule.
