Granular WhatsApp User Permissions

Granular WhatsApp user permissions allow account administrators to grant or restrict specific actions for team members across WhatsApp templates, flows, business profiles, phone numbers, and integration connections.

Who This Is For / When to Use

WhatsApp user permissions are for account administrators who manage team access to WhatsApp communication settings. Use these permissions when onboarding new staff, assigning role-specific responsibilities, or restricting sensitive administrative actions such as integration disconnections or template deletions.

Available WhatsApp User Permissions

WhatsApp permissions are configured under the WhatsApp module in user settings. Seven per-action permission toggles control user capabilities:

  • Create/edit WhatsApp templates: Controls whether a user can create new WhatsApp templates or modify existing ones. Editing a live template resubmits it to Meta for review and temporarily pauses template availability.

  • Delete WhatsApp templates: Controls whether a user can permanently remove approved WhatsApp templates from the template library.

  • Create/edit WhatsApp flows: Controls whether a user can build or edit WhatsApp interactive flows used in automations.

  • Delete/deprecate WhatsApp flows: Controls whether a user can remove or deprecate active WhatsApp flows linked to automated workflows.

  • Update WhatsApp business profile: Controls whether a user can edit public business profile information visible to WhatsApp contacts.

  • Add/manage WhatsApp phone numbers: Controls whether a user can connect, modify, or manage sending phone numbers.

  • Disconnect WhatsApp integration: Controls whether a user can remove or disconnect the WhatsApp channel integration from the account.

By default, all seven permissions are granted to existing user roles to prevent workflow disruption.

How to Configure WhatsApp User Permissions

Account administrators can modify WhatsApp permissions for individual team members at any time.

  1. Go to Settings > Users.

  2. Select the target user record and click Edit.

  3. Click Roles & permissions in the left menu.

  4. Locate the WhatsApp section.

  5. Toggle individual permissions on or off according to required access levels.

  6. Click Save.

Permission updates take effect immediately after saving.

How Permission Restrictions Appear in the User Interface

When a user attempts an action without the required permission, the system disables the corresponding UI element and displays an explanatory message.

Restricted options in drop-down menus, such as Delete template, appear grayed out and unselectable.

If a user hovers over or clicks a restricted control button, a system notification tooltip displays: "You do not have the required permissions. Please contact your admin for assistance."

Important Rules and Audit Logs

WhatsApp permission settings operate under the following system behaviors:

  • User-Level Application: Permission settings apply to the specific user profile across all associated accounts.

  • Audit Logging: Permission changes are recorded in the account audit log under Users.

  • Feature Availability: WhatsApp permission controls remain visible in user settings regardless of whether channel reselling is active.

Common Issues and Fixes

User cannot edit or delete WhatsApp templates

  • Cause: The user account lacks the Create/edit WhatsApp templates or Delete WhatsApp templates permission.

  • Fix: Go to Settings > Users, edit the user, open Roles & permissions, enable Create/edit WhatsApp templates or Delete WhatsApp templates under WhatsApp, and click Save.

Disconnect button or phone number management is grayed out

  • Cause: The user account does not have Disconnect WhatsApp integration or Add/manage WhatsApp phone numbers enabled.

  • Fix: An account administrator must update the user's role settings in Settings > Users > Roles & permissions and turn on the required permission toggles.
