How to Edit User Information and Permissions

Edit a team member’s personal details, role, data visibility, and granular permissions to control exactly what they can see and manage inside the account.

Who This Is For / When to Use

This is for account admins who need to update user details, assign roles, restrict data visibility, or configure granular permissions for payments, calendars, automation, and other tools.


Access Team Management

Step 1: Open My Staff

  1. Go to Settings.

  2. Select My Staff.

  3. Open Team Management.


Step 2: Select a User to Edit

  1. Locate the user in the list.

  2. Click the Edit (pencil) icon under Action.


Edit User Information

User Info

Use User Info to update the user’s basic details.

You can edit:

  • Profile image

  • First and last name

  • Email address and verification

  • Phone number and extension

  • Password (if applicable)

  • Default calendar

  • Email signature


Edit Roles and Permissions

Open Roles & Permissions

  1. In the left sidebar, click Roles & Permissions.


User Role

Select the user’s role:

  • User

  • Admin

Admins can manage other users and system-level settings.


Data Visibility Scope (Only Assigned Data)

Use Only Assigned Data to restrict what data a user can see.

When enabled, users can only access data assigned to them, including:

  • Contacts and conversations

  • Opportunities

  • Calendars and appointments

  • Pipeline records

Important: When Only Assigned Data is enabled, users cannot access unassigned tags, funnels, workflows, or shared data.


User Management Permissions

Control Access to Team Management

Admins can control whether users can manage or only view other users.

Options:

  • View & manage users – full access to add, edit, and delete users

  • View users – read-only access

  • If both are disabled, My Staff and Team are hidden from the sidebar


Configure Tool-Level Permissions

Automation Permissions

Control access to campaigns and workflows.

You can allow:

  • View campaigns

  • View & manage campaigns

  • View workflows

  • View & manage workflows

  • Manage triggers


Calendar Permissions

Control calendar visibility and management.

Options include:

  • View appointments, calendars, and groups

  • Manage appointments

  • Manage calendars

  • Manage groups


Opportunities Permissions

Control pipeline access.

You can allow:

  • View & manage opportunities

  • View opportunity lead value

  • Bulk actions on opportunities


Payment and Subscription Permissions

Payments (Including Export)

Admins can restrict sensitive financial actions.

Permissions include:

  • View & manage payments

  • Record payments

  • Refund payments

  • Export payments (CSV)

  • View & manage invoices

  • Cancel subscriptions


Orders, Subscriptions, and Payment Settings

Granular controls are available for each section:

  • Orders: view, import, export, collect partial payments

  • Subscriptions: create, update, pause, cancel, export

  • Payment Settings: receipts and subscription configuration

  • Products: create, edit, duplicate, delete

  • Transactions and Taxes


Save Changes

  1. Click Save to apply updates.

  2. Changes take effect immediately.


Common Issues and Fixes

I don’t see the Edit button

  • Only Admins can edit other users.

  • Users without permission will see a warning message.


User cannot export payment data

  • Ensure Export payments is enabled under Payments permissions.


User sees too much or too little data

  • Review Only Assigned Data.

  • Confirm calendar, opportunity, and contact permissions align with their role.
