Manage WhatsApp Settings

WhatsApp Settings is the central area for monitoring your WhatsApp Business connection, managing phone numbers and message templates, creating WhatsApp Flows, and accessing account-level connection controls.

Open WhatsApp Settings

To open WhatsApp Settings:

  1. Open the Kyrios account.

  2. Go to Settings.

  3. Select WhatsApp under Business Services.

The WhatsApp Business page contains three primary tabs:

  • Numbers

  • Templates

  • Flows

Use these tabs to manage the main components of the account's WhatsApp Business configuration.


Monitor WhatsApp Account Status and Messaging Activity

The header of the WhatsApp Business page provides an account-level view of WhatsApp status and recent messaging activity. It displays:

  • Account Status

  • Meta Business Verification

  • Total Messages sent (in last 7 days)

  • Total Messages delivered (in last 7 days)

The delivered-message metric can also display a percentage change for recent delivery performance. The three-dot menu in the upper-right corner provides account-level actions, including:

  • Disconnect

  • Cancel Subscription

Use the status and message totals for a quick view of whether the WhatsApp connection is active and how messaging has performed during the previous seven days.


Manage WhatsApp Phone Numbers

The Numbers tab contains phone numbers connected to WhatsApp Business. To open the Numbers area:

  1. Go to Settings > WhatsApp.

  2. Select Numbers.

From this tab, you can:

  • Review configured WhatsApp phone numbers.

  • Review messaging limits.

  • Review number status.

  • Review number quality.

  • Manage an existing number.

  • Add another number.

  • Start creation of a WhatsApp engagement ad.


Add a WhatsApp Phone Number

To add a phone number:

  1. Open Settings > WhatsApp > Numbers.

  2. Click + Add Number.

  3. In Configure Phone Number, enter or confirm the required display name.

  4. Choose an available phone number from Select from your phone numbers, or enter your own phone number.

  5. Click Proceed to verify.

  6. Complete the verification steps shown during setup.

The configuration window warns that connecting a phone number to this WhatsApp integration can affect whether that number can continue to be used in the WhatsApp mobile app. Review the warning shown during setup before proceeding.


Create a WhatsApp Engagement Ad

The Numbers tab also provides a Create Engagement Ad option. To continue to ad creation:

  1. Open Settings > WhatsApp > Numbers.

  2. Click Create Engagement Ad.

  3. Review the redirect notice.

  4. Click Continue.

You will leave the current WhatsApp Settings page and continue the engagement ad setup in Ad Manager.

Click Cancel instead if you do not want to leave the current page.


Manage WhatsApp Message Templates

The Templates tab is used to create, find, organize, and manage WhatsApp message templates. To open it:

  1. Go to Settings > WhatsApp.

  2. Select Templates.

The Templates area includes:

  • Search By Name

  • WhatsApp Template Rewriter

  • Create Folder

  • + Create Template

Use the search field to locate an existing template and folders to organize larger template libraries.


Create a WhatsApp Message Template

To begin creating a template:

  1. Open Settings > WhatsApp > Templates.

  2. Click + Create Template.

  3. Select Blank Template to create the template manually or AI Template when you want to use the available AI-assisted creation option.

After selecting the creation method, complete the template configuration.


Configure a Blank WhatsApp Template

When creating a blank template, configure each section of the message before submitting it. Available fields include:

  1. Template Name
    Enter the name used to identify the template.

  2. Category
    Select the appropriate template category.

  3. Language
    Select the language used by the template.

  4. Header
    Enable the header when needed and choose an available header type, such as:

    • Text

    • Image

    • Video

    • Document

    • Location

  5. Body
    Enter the primary message content.

  6. Footer
    Add optional supporting text.

  7. Button
    Add an optional interactive button.

Variables can be inserted into supported template fields for personalization.

When the template is complete, click Create to submit it.


Manage WhatsApp Flows

The Flows tab contains WhatsApp Flows configured for the account.

To open it:

  1. Go to Settings > WhatsApp.

  2. Select Flows.

The flow list can display information such as:

  • Flow category.

  • Status.

  • Preview.

  • Last update.

You can also search for an existing flow by name. To create a flow, click + Create Flow.


Create a WhatsApp Flow: Step 1

Flow creation uses a three-step process.

In Step 1 of 3:

  1. Enter a Flow Name.

  2. Select the calendar that should be used for appointment booking.

  3. Click Next.

The calendar determines the appointment-booking context used by the WhatsApp Flow. The interface notes that default form fields are used for booking appointments within WhatsApp Flows. Additional custom-field data may need to be collected separately.


Configure WhatsApp Flow Fields: Step 2

In Step 2 of 3, review the fields included in the appointment-booking flow. Displayed fields can include:

  • First name.

  • Last name.

  • Email address.

  • Phone number.

  • Additional information.

A preview panel shows how the flow will appear to the contact.

Review the fields and preview, then click Next to continue. The interface also indicates that guests cannot be added through WhatsApp Flows.


Add the WhatsApp Flow Message: Step 3

In Step 3 of 3, configure the message that launches the WhatsApp Flow.

You can configure:

  • Header

  • Body

  • Footer

  • Button text

Variables can be added to supported message fields. The button text is the call to action the contact selects to open the flow. When finished:

  • Click Save as Draft to keep the flow unpublished.

  • Click Publish to publish the flow.

Review the message preview before publishing to confirm the message and button appear as expected.


Disconnect WhatsApp

The Disconnect action removes the current connection between Kyrios and the connected WhatsApp account. To access it:

  1. Go to Settings > WhatsApp.

  2. Open the three-dot menu in the upper-right corner of the WhatsApp Business header.

  3. Select Disconnect.

Use this action when you need to sever the current WhatsApp connection without selecting the separate subscription cancellation action.


Cancel the WhatsApp Subscription

The Cancel Subscription action is available from the same account-level menu as Disconnect. To access it:

  1. Go to Settings > WhatsApp.

  2. Open the three-dot menu in the upper-right corner.

  3. Select Cancel Subscription.

Use this option when you intend to end the WhatsApp subscription rather than only disconnect the current WhatsApp connection.


Common Issues and Fixes

I cannot find the WhatsApp configuration area

Go to Settings > WhatsApp inside the Kyrios account. The WhatsApp Business page contains the Numbers, Templates, and Flows tabs.

I need to connect another WhatsApp number

Open Settings > WhatsApp > Numbers and click + Add Number. Complete the phone number configuration and verification process shown on screen.

I need to find an existing WhatsApp template

Open Settings > WhatsApp > Templates and use Search By Name. Templates can also be organized into folders from the Templates area.

I need to create an appointment-booking experience in WhatsApp

Open Settings > WhatsApp > Flows and click + Create Flow. Flow creation guides you through selecting a calendar, reviewing fields, and creating the message used to launch the flow.

My WhatsApp Flow is not ready to publish

Use Save as Draft in the final flow step. A draft can remain unpublished until its configuration is ready.

FAQ

What is the difference between Disconnect and Cancel Subscription?

Disconnect removes the current WhatsApp connection. Cancel Subscription is the separate action used to end the WhatsApp subscription. Both options are available from the three-dot menu in the WhatsApp Business header.

What can I manage from the Numbers tab?

The Numbers tab is used to review and manage WhatsApp phone numbers, add another number, review number status and quality, and start creation of a WhatsApp engagement ad.

What can I manage from the Templates tab?

The Flows tab is used to create and manage WhatsApp Flows. The current flow creation experience guides you through selecting an appointment calendar, reviewing the fields included in the flow, and creating the WhatsApp message that launches it.

Can I save a WhatsApp Flow without publishing it?

Yes. In the final flow creation step, click Save as Draft to save the flow without publishing it.

Can WhatsApp Flows add guests to appointments?

No. The Flow configuration interface states that WhatsApp Flows do not support adding guests.

Can I use an existing phone number for WhatsApp?

The Configure Phone Number window provides options to select from available phone numbers or enter your own phone number. Review the warning displayed during configuration because connecting the number can affect its use in the WhatsApp mobile app.
