Preference Management: Create Email Preference Types and Honor Contact Subscription Choices

Preference Management lets each Kyrios account organize marketing emails into preference categories so contacts can choose which types of email they want to receive without necessarily unsubscribing from all marketing email.

What Preference Management Does

Preference Management controls both whether a contact receives marketing email and which categories of marketing email that contact wants to receive. Each account can create custom preference categories based on its email strategy. These categories can then be assigned to email campaigns. When a contact unsubscribes from a specific preference category, Kyrios excludes that contact from campaigns associated with that category, even when the contact is otherwise included in the campaign audience. This category-level filtering helps Kyrios honor contact choices without requiring a contact to unsubscribe from every type of marketing email.


Preference Types and Subscription Types

A Preference Type is a category used to identify a type of email communication, such as:

  • Newsletters

  • Promotions

  • Event Updates

  • Product Updates

In the Preference Management Hub, these categories appear under Subscription Types, and the creation button is labeled Create Subscription Type. When configuring an email campaign, the campaign setting is labeled Preference Type.

Each Preference Type can be used to determine whether a contact should receive campaigns associated with that category.


How Preference-Based Audience Filtering Works

Kyrios checks the assigned Preference Type before sending an email campaign.

If a contact is unsubscribed from that Preference Type, Kyrios excludes the contact from the campaign even when the contact was originally included in the selected audience. Preference-based filtering therefore:

  • Honors category-level opt-outs.

  • Prevents conflicting campaigns from being sent to unsubscribed contacts.

  • Applies the contact's preference without requiring the contact to be removed from the original list or audience.

A contact can remain subscribed to other Preference Types while being unsubscribed from one specific category.


How to Create a Preference Type

Preference Types are created from the Preference Management Hub inside account settings.

  1. Go to Settings → Preference Management Hub.

  2. Under Subscription Types, click + Create Subscription Type.

3. Enter the Subscription Name.

4. Enter a Description that explains the type of communication the contact will receive.

5. Use a name that recipients can easily understand.

6. Click Save.

7. Repeat the process for each additional email category you need.

Subscription category names can contain up to 100 characters.


How to Assign a Preference Type to an Email Campaign

Assigning a Preference Type tells Kyrios which category of communication the campaign represents.

  1. Open the email campaign in the Email Builder.

  2. Click Send or Schedule.

3. On the campaign sending screen, locate Preference Type.

4. Select the category that represents the campaign.

Once a Preference Type is assigned, contacts who are unsubscribed from that category are excluded from that campaign.


How to View a Contact's Email Subscription Preferences

A contact's category-level email preferences can be viewed from the contact record.

  1. Go to Contacts.

  2. Open the contact.

  3. Select the DND tab.

  4. Under Email, click Subscription Status.

Kyrios opens the Manage Email Subscriptions window for that contact.


How to Subscribe or Unsubscribe a Contact from a Preference Type

The Manage Email Subscriptions window shows the contact's subscription status for each available Preference Type. Each category displays whether the contact is currently Subscribed or Unsubscribed.

To change a preference:

  1. Open the contact's Subscription Status.

  2. Find the Preference Type you want to change.

  3. Choose the available subscribe or unsubscribe action for that category.

Changes made at the contact level affect that individual email address and its category-level email eligibility. Kyrios also logs contact-level preference changes in Conversations so teams can review those changes in context.


How to Resubscribe a Contact Who Previously Opted Out

When a contact has previously opted out of a Preference Type, Kyrios requires additional information before the contact can be resubscribed. The resubscription form requires:

  • The contact's email address.

  • The Preference Type being changed.

  • A Legal basis for communicating with the contact.

  • An Explanation for communication consent.

Complete the required fields and click Submit to process the resubscription.

A contact should only be resubscribed when there is an appropriate legal basis for doing so.


Category Opt-Out vs. Global Unsubscribe

A category opt-out and a global unsubscribe affect email eligibility differently. A category opt-out prevents the contact from receiving email associated with the selected Preference Type. A global unsubscribe prevents the contact from receiving marketing email from the account entirely. For example, a contact can unsubscribe from Promotions while remaining subscribed to Newsletters and Event Updates.


Contact-Managed Preferences

When Preference Management is enabled, contacts can manage their own category-level email choices through the preference-management option associated with the unsubscribe experience. A contact can use this option to unsubscribe from specific categories instead of stopping all marketing communication. Any category-level change made by the contact is applied to future campaigns associated with that Preference Type.


Common Issues and Fixes

A contact is in my campaign audience but is not receiving the email

Check the contact's Subscription Status and compare it with the campaign's assigned Preference Type. If the contact is unsubscribed from that Preference Type, Kyrios excludes the contact even when the contact is included in the campaign audience.

I cannot immediately resubscribe a contact

A previously unsubscribed contact may require a legal basis and an explanation of communication consent before Kyrios allows the Preference Type to be resubscribed. Complete the required fields in the Communication re-subscription form.

A Preference Type no longer appears in active use

Check whether the Preference Type has been disabled, deleted, or archived. When all Preference Types are archived, the Preference Management Hub displays a guided empty state prompting the user to create or restore a category.

FAQ

How does a category opt-out relate to a global unsubscribe?

A category opt-out suppresses only email associated with the selected Preference Type. A global unsubscribe stops marketing email from the account entirely.

Can contacts manage their own preferences?

Yes. When Preference Management is enabled, the unsubscribe experience can provide a Manage your preferences option that lets contacts update their category-level choices.

Do emails sent through workflows honor Preference Types?

Yes. Preference-based filtering applies when the relevant email communication is associated with a Preference Type. Contacts whose subscription status conflicts with that category are excluded even when they were otherwise included in the audience.

What happens if all Preference Types are archived?

When all Preference Types are archived, the Preference Management Hub displays a guided empty state instead of an empty list and prompts the user to create or restore a category.

Can Preference Management be turned off after it is enabled?

No. Preference Management cannot be reversed after it is enabled. Enable it only when the account is ready to use category-level subscription controls.

Is there a limit to how many Preference Types I can create?

You can create as many Preference Types as your email program requires. Subscription category names support up to 100 characters and can be edited after creation.
