How Workflows and Automations Work

Understand how Kyrios moves work automatically so you don’t have to remember every step.

Workflows are what make Kyrios do things automatically.

They follow simple rules: When something happens → something else happens


Why this matters

Without automation, your business runs on memory:

  • “I need to follow up with them”

  • “I should send that message later”

  • “Don’t forget to check back in”

That works… until it doesn’t.

Things get missed. Follow-up is inconsistent. Work depends on you remembering.

Workflows remove that. They let the system handle those steps for you.


How workflows work (simple version)

Every workflow has two parts:

1. Trigger (what starts it)

This is the event that tells the system to act.

Examples:

  • A contact is created

  • A form is submitted

  • A tag is added

  • A pipeline stage changes


2. Action (what happens next)

This is what the system does after the trigger.

Examples:

  • Send an email

  • Send an SMS

  • Create a task

  • Assign a contact

  • Update a record


Simple example

Someone fills out a form. That triggers a workflow.

The system then:

  • sends a message

  • creates a follow-up task

  • assigns the contact

No one has to remember to do it.


Where this is already happening

You may already have workflows running from the Starter Pack.

For example:

  • Referrals create follow-up tasks automatically

  • Networking sends outreach and creates tasks if no one replies

  • Reviews send requests without you manually reaching out

You didn’t build those. They’re already there.


What you will do

You are not building workflows right now.

You are:

  • understanding how they work

  • recognizing when they are running

  • seeing the results they create


Where to see it working

When a workflow runs, you’ll see the results in:

  • Conversations (messages sent or received)

  • Tasks (automatically created work)

  • Contacts (updated records and activity)

There are also:

  • workflow enrollment logs

  • workflow execution logs

These show what happened behind the scenes if you ever need to check. You don’t need to use those right now.


Important note

Workflows follow rules. If something is missing or out of order, the workflow may not run as expected.

That’s why the Starter Pack guides walk through setup in a specific order. Follow those steps, and things will work correctly.


About communication (important)

Workflows can send:

  • Email (works immediately)

  • SMS (requires a phone number and A2P approval)

If SMS is not set up yet, those steps will not send. That’s normal.

What to ignore for now

You do not need:

  • advanced workflow builders

  • filters and branching logic

  • AI workflow tools

  • trigger/action libraries

Those come later. Right now, you just need to understand that the system can act on its own.


Think of workflows like this:

  1. You set the rule once.

  2. The system follows it every time.

  3. That’s how work starts moving without you.

This will help you go from: “I have to remember everything.”

to: “The system can handle this for me.”

That’s the beginning of leverage in your business.
