How to Create and Use Workflows in Kyrios

Workflows in Kyrios are a visual automation tool used to trigger actions based on contact behavior, tags, or events, allowing teams to automate communication, follow-ups, and internal processes.

This article is for Kyrios users who want to create, edit, organize, test, and publish workflows for lead nurturing, customer communication, and operational automation.

Accessing the Workflows List

The Workflows List is where all drafted, published, paused, and deleted workflows are managed.

To access the Workflows List:

  1. Open Automations from the main navigation.

  2. Select Workflows.

  3. Review workflow status, enrollment counts, and last updated timestamps.

From this screen, users can create new workflows, organize folders, apply filters, and open existing workflows for editing.

Creating a New Workflow

A new workflow can be created from scratch, from a template, or using AI-assisted setup.

To create a workflow:

  1. Click + Create Workflow in the top-right corner.

  2. Choose one of the following options:

    • Start from Scratch

    • Build using AI

    • Select from Template

    • Import from a Campaign

  3. Confirm your selection to enter the Workflow Builder.

Using Workflow Templates

Workflow templates provide pre-built automation structures that can be customized.

To use a template:

  1. Select Select from Template when creating a workflow.

  2. Browse categories such as Lead Nurture, Appointments, or Communication.

  3. Click a template to load it into the builder.

Templates reduce setup time and ensure best-practice automation flows.

Navigating the Workflow Builder

The Workflow Builder is the main canvas for configuring automation logic.

Within the builder, users can:

  • Rename the workflow using the pencil icon

  • Switch between Builder, Settings, Enrollment History, and Execution Logs

  • Add triggers and actions

  • Save, test, and publish workflows

Adding Workflow Triggers

Triggers define when a contact enters a workflow.

To add a trigger:

  1. Click Add New Trigger on the canvas.

  2. Select a trigger type, such as Contact Tag.

  3. Apply filters (for example, Tag Added = signup).

  4. Save the trigger.

Multiple triggers can be added to a single workflow.

Adding Workflow Actions

Actions define what happens after a trigger fires.

To add an action:

  1. Click the + icon beneath a trigger or action.

  2. Select an action type (Email, Wait, Add Tag, Internal Notification, etc.).

  3. Configure the action settings.

  4. Save the action.

Actions execute sequentially from top to bottom unless conditional logic is added.

Saving, Testing, and Publishing a Workflow

Workflows must be saved and published before they run.

To activate a workflow:

  1. Click Save to store changes.

  2. Use Test Workflow with a test contact.

  3. Toggle the workflow from Draft to Publish.

  4. Confirm the status shows Saved.

When a workflow is in Draft mode, no new contacts are enrolled.

Using Undo, Redo, and Change History

The builder includes tools to safely manage edits.

Users can:

  • Undo or redo recent actions

  • View a list of recent changes

  • Revert multiple steps at once

These tools reduce errors during workflow editing.

Switching Between Workflows

The Workflow Switcher allows users to move between workflows without leaving the builder.

To open the switcher:

  • Click the Workflow Switcher icon

  • Or press Shift + W

From the switcher, users can search, duplicate, open in a new tab, or delete workflows.

Using Advanced Filters and Smart Lists

Advanced Filters allow users to narrow the workflow list using multiple criteria.

To apply filters:

  1. Click Advanced Filters in the Workflows List.

  2. Add one or more conditions.

  3. Click Apply.

Filtered views can be saved as Smart Lists for quick access.

Creating and Saving Smart Lists

Smart Lists save filtered workflow views.

To create a Smart List:

  1. Apply Advanced Filters.

  2. Click Save.

  3. Select Save as new Smart List.

  4. Name the Smart List.

Smart Lists appear as tabs in the Workflows List.

Common Issues and Fixes

Workflow does not enroll contacts
Ensure the workflow is published and trigger filters are correctly configured.

Changes are not taking effect
Click Save and confirm the status shows Saved before publishing.

Contacts stop mid-workflow
If the workflow is switched to Draft, contacts pause until republished.
