Configuring staff in Services ensures only available, qualified team members can be booked for specific services with correct availability, pricing, and limits.

  • You offer services delivered by specific team members.

  • You need to control staff availability, pricing, or booking limits.

  • You want customers to book the correct staff automatically.


What Staff Configuration Controls

Staff configuration determines:

  • Which services a staff member can be booked for

  • When that staff member is available

  • How pricing, limits, and booking links behave

Important Rule:
A staff member cannot appear in the booking flow unless:

  1. At least one service is assigned, and

  2. Availability is configured


Step 1: Access the Staff Panel

All staff management starts in the Staff panel.

Steps

  1. Go to Calendars

  2. Open Calendar Settings

  3. Select Services

  4. Click Staff

From this panel, you can:

  • View staff details (name, email, role)

  • Search and sort staff

  • Add or edit staff

  • Copy direct booking links for individual staff


Setting Up Staff Profiles

Each staff profile controls how the staff member appears to customers and how bookings are scheduled.

Basic Information

  • Profile picture (shown on booking pages)

  • First and last name (required)

  • Email address (required and unique)

  • Phone number (optional)

  • Timezone (used for availability)

  • Custom booking URL

  • Default availability (baseline schedule)


Understanding Default Availability

Default availability is the baseline schedule applied whenever a staff member is assigned to a service.

Why It Matters

  • A staff member is not bookable without availability

  • Default availability applies automatically to all assigned services

  • You can override it later with:

    • Weekly Working Hours (recurring)

    • Date-Specific Hours (one-time changes)

Example:
If a staff member is set to Mon–Fri, 9:00 AM–5:00 PM, those hours apply to every service unless overridden.


Managing Staff and Advanced Settings

To modify a staff member:

  1. Open the Staff panel

  2. Click the pencil icon next to the staff member

Assigning Services to Staff (Required)

Staff members must have services assigned to appear in booking.

Assign Services Tab

  • Select which services the staff member provides

  • Enable Custom Pricing per staff member

  • Set Booking Caps (daily, weekly, monthly)

Critical Rule:
If no services are assigned, the staff member will not appear in the booking flow.


Weekly Working Hours

Weekly Working Hours define recurring schedules and allow split shifts.

What You Can Do

  • Select active workdays

  • Create multiple time slots per day

  • Assign services to specific time blocks

  • Assign locations per time block

  • Create breaks by leaving gaps

Example:
9:00 AM–1:00 PM and 2:00 PM–6:00 PM creates a midday break.

Use Custom Date Overrides for one-time changes.
