Appointment List View Overview

The Appointment List View is a centralized dashboard for managing all appointments across calendars. It supports advanced filters, customizable columns, and Smart Lists.

Key capabilities include:

  • Viewing all appointments in one list

  • Creating saved Smart Lists based on filters

  • Customizing visible columns and sorting logic


Default Lists in Appointment List View

The Appointment List View includes three default lists:

  • Upcoming
    Shows future and currently ongoing appointments.

  • Cancelled
    Displays cancelled appointments, no-shows, or invalid entries.

  • All
    Lists every appointment created in the account.


Default Columns

The Appointment List View includes the following default columns:

  • Index – Sequential numbering

  • Title – Appointment name

  • Invitee – Primary contact attending

  • Status – New, Confirmed, Showed, No-show, Cancelled, Invalid

  • Appointment Time – Scheduled date and time

  • Calendar – Calendar where the appointment was created

  • Appointment Owner – Assigned user

  • Rescheduled Tag – Identifies rescheduled appointments

Additional columns such as Created By and Date Added can be enabled.


Using Advanced Filters

Advanced Filters allow you to refine appointments using specific conditions.

Available filters include:

  • Calendar

  • Users

  • Status

  • Date Added

  • Start Date / Appointment Time

  • Created By

  • Is Rescheduled

AND / OR Logic

Filters can be combined using AND and OR logic to create complex conditions, such as:

  • Calendar = Sales AND

  • Date Added = Last 7 days


Creating a Smart List

Smart Lists save your filter, column, and sorting preferences as reusable views.

Steps to Create a Smart List

  1. Go to Calendars > Appointments.

  2. Click + Smart List.

  1. Enter a descriptive name for the Smart List.

  2. Apply Advanced Filters based on your needs.


Managing Columns in a Smart List

You can control which columns appear in your Smart List.

  • Open Columns

  • Enable or disable fields

  • Reorder columns as needed


Applying Sorting Rules

Sorting determines how appointments are ordered in the Smart List.

Sorting options include:

  • Date Added (Ascending / Descending)

  • Appointment Time (Ascending / Descending)


Saving a Smart List

After configuring filters, columns, and sorting:

  • Click Save as New

  • The Smart List appears as a new tab next to default lists

  • Filters are automatically applied when the tab is selected


Editing and Deleting Smart Lists

Edit a Smart List

  1. Select the Smart List tab.

  2. Click Customize List.

  3. Update filters, columns, or sorting.

  4. Click Save.

Delete a Smart List

  1. Open the Smart List.

  2. Click Customize List.

  3. Select Delete List.

  4. Confirm deletion.

Ensure the Smart List is active before deleting to avoid unintended changes.
