How to Organize Workflows Using Folders, Advanced Filters, and Smart Lists

This article is for Kyrios users managing multiple workflows who need a clean, scalable way to organize automations, quickly locate workflows, and save filtered views.

Use this when workflow lists become difficult to navigate or when teams need consistent saved views.

What workflow folders are

Workflow folders group related workflows together inside the Automation β†’ Workflows list. Folders improve visibility, reduce clutter, and make it easier to manage campaigns, funnels, or internal automations.

Folders only affect organization and do not change how workflows execute.

Step 1: Create a workflow folder

Creating a folder allows workflows to be grouped under a shared category.

  1. Navigate to Automation β†’ Workflows.

  2. Click Create Folder in the top-right corner.

  3. Enter a folder name in the popup.

  4. Click Create.

The folder appears immediately in the All Workflows list.

Step 2: Move workflows into a folder

Workflows can be moved into folders at any time without affecting their status.

  1. Locate the workflow in the workflow list.

  2. Click the three-dot menu next to the workflow.

  3. Select Move to Folder.

  4. Choose a destination folder.

  5. Click Move.

The workflow is instantly relocated to the selected folder.

Moving workflows out of folders

Workflows can be moved back to the main list or into another folder using the same process.

Select Move to Folder, then choose the general workflow list or a different folder. No workflow data or enrollment is affected.

Creating workflows directly inside folders

Workflows created while inside a folder are automatically saved to that folder.

Navigate into the folder first, then click Create Workflow. No additional steps are required.

What Advanced Filters do

Advanced Filters apply rule-based conditions to the workflow list, allowing workflows to be filtered by properties such as status, enrollment count, or update date.

Filters are temporary until saved as a Smart List.

Step 3: Use Advanced Filters

Advanced Filters help narrow large workflow lists.

  1. From Automation β†’ Workflows, click Advanced Filters.

  2. Select filter criteria from the dropdowns.

  3. Enter filter values as needed.

  4. Click Apply.

The workflow list updates immediately based on the applied conditions.

What Smart Lists are

Smart Lists save Advanced Filter configurations as reusable views. Smart Lists allow teams to return to the same filtered workflow view without reapplying filters.

Smart Lists do not duplicate workflows and only affect list visibility.

Step 4: Create and save a Smart List

Saving filters as a Smart List creates a persistent workflow view.

  1. Apply Advanced Filters.

  2. Click New Smart List.

  3. Enter a name for the Smart List.

  4. Click Save.

The Smart List appears as a tab at the top of the Workflow List.

Common issues and fixes

Folder option is missing

Cause: User does not have workflow management permissions. Fix: Verify account permissions allow workflow editing.

Workflow not appearing in folder

Cause: Filters or Smart Lists are active. Fix: Switch back to All Workflows view or clear filters.

Smart List changes are lost

Cause: Filters were not saved. Fix: Use the Save option after modifying Smart List filters.
