What Advanced Filters Do
Advanced Filters allow users to temporarily refine the Workflow List using specific conditions such as workflow name, status, trigger type, action type, tags, or dates. Filters apply instantly and do not change the underlying workflows.
Advanced Filters are best used when locating workflows quickly without saving the view.
What Smart Lists Do
Smart Lists are saved versions of Advanced Filters that appear as tabs at the top of the Workflow List. Each Smart List automatically updates as workflows change and can be reused at any time.
Smart Lists are best used when monitoring workflows regularly or organizing workflows by recurring criteria.
Advanced Filters vs. Smart Lists
Advanced Filters and Smart Lists use the same filtering logic but serve different purposes.
Advanced Filters are temporary and reset when cleared or discarded.
Smart Lists are saved filter views that remain accessible until deleted.
If the same filter is needed more than once, it should be saved as a Smart List.
How to Open Advanced Filters
Advanced Filters are accessed from the Workflow List page.
Navigate to Automations → Workflows.
Click Advanced Filters near the top of the page.
The Advanced Filters panel opens on the right side of the screen.

Each filter targets one workflow attribute at a time.
How Filter Conditions Work
Each filter includes a condition operator that controls how the value is evaluated.
Available operators include:
Is – Matches a single exact value
Is any of – Matches one or more selected values
Exists – Matches workflows where the attribute is present
Operators determine how strictly workflows must match the selected criteria.
How to Add a Filter
Filters are added one at a time inside the Advanced Filters panel.
Select a filter type (for example, Trigger Type).
Choose a condition operator (for example, Is).
Select or enter a value.
Repeat as needed for additional filters.
Each filter immediately becomes part of the active query.
How AND and OR Logic Works
Advanced Filters support grouped logic for precise filtering.
AND requires all conditions in the group to match.
OR allows workflows that match any condition in the group.
Use AND to narrow results and OR to broaden results.
How to Remove a Filter
Filters can be removed individually without resetting the entire filter set.
Locate the filter inside the Advanced Filters panel.
Click the trash icon next to the filter.
The workflow list updates immediately.
How to Apply Advanced Filters
Filters are applied after configuration.
Confirm all desired filters are set.
Click Apply.
The Workflow List refreshes to show matching workflows.
Applied filters do not modify workflows themselves.
How to Save Filters as a Smart List
Any applied Advanced Filter can be saved as a Smart List.
Apply one or more Advanced Filters.
Click Save.
Select Save as new Smart List.
Enter a name for the Smart List.
The Smart List appears as a new tab in the Workflow List.
How to Access a Smart List
Smart Lists appear as tabs above the Workflow List.
Navigate to Automations → Workflows.
Click the Smart List tab.
The saved filters apply automatically.
Smart Lists update dynamically as workflows change.
How to Edit or Customize a Smart List
Smart Lists can be modified after creation.
Open the Smart List.
Click Customize List.
Adjust filters or list columns.
Save changes.
Edits affect only the selected Smart List.
Smart List Visibility and Permissions
Smart List visibility depends on user role.
Smart Lists created by users are visible only to that user and admins.
Smart Lists created by admins are visible to all admins.
Promoted admins gain access to all admin-created Smart Lists.
Demoted admins retain access only to Smart Lists they created.
Smart Lists cannot be shared directly with non-admin users.

Filters Return No Results
This usually means the selected conditions are too restrictive.
Fix: Remove one filter or switch from AND to OR logic.
Smart List Does Not Appear
This usually occurs when the list was not saved.
Fix: Reapply filters and confirm “Save as new Smart List” was completed.
Workflows Missing From a Smart List
Smart Lists update dynamically based on filter criteria.
Fix: Review filter conditions to ensure the workflow still qualifies.
