Use Smart Lists when you want a dynamic contact list for campaigns, workflows, or daily contact management that updates automatically based on filters.
What Is a Smart List
A Smart List is a saved filter view in Contacts.
Contacts are never added manually. Any contact that matches the filter rules appears automatically, and contacts are removed automatically when they no longer match.
How to Create a Smart List
Step 1: Open Contacts and Smart Lists
Go to Contacts from the left sidebar.
Click Smart Lists at the top of the Contacts page.
Step 2: Open Filters
Click the Filters (funnel) icon above the contacts table.
The Filters panel opens on the right side.
Step 3: Select Filters
Use the search bar or browse filter categories.
Choose a filter (for example: Email, Tag, Address, Assigned).
Select the condition (such as Is, Is Not, Contains, Empty, or Not Empty).
Enter or select the value.
Click Apply to add the filter.
Step 4: Add More Conditions (Optional)
Use AND to require all conditions to match.
Use OR to allow alternate conditions.
Add as many filters as needed to define your list.
Step 5: Save as a Smart List
Click Save as smart list.
Enter a name for the Smart List.
Save.
The Smart List now appears at the top of the Contacts page and updates automatically.
How to Access and Edit Smart Lists
Open a Smart List
Go to Contacts.
Click the Smart List name at the top to load it.
Edit a Smart List
Open the Smart List.
Click the Filters icon.
Modify, add, or remove filters.
Click Apply or Save.
Changes take effect immediately.
How to Manage Smart Lists
In Contacts, click Manage Smart Lists.
From here you can:

Duplicate a Smart List
Share a Smart List
Delete a Smart List
Common Issues and Fixes
Contacts are missing from my Smart List
Confirm the contact meets all active filters.
Check AND/OR logic.
Verify the contact field used in the filter is populated.
My Smart List suddenly shows zero contacts
Adding a new filter may conflict with existing filters.
Review each filter condition carefully.
Test filters one at a time.
I can’t manually add contacts to a Smart List
This is expected behavior.
Smart Lists only include contacts that match filters.
To force inclusion, update the contact so it meets the filter (for example, add a matching tag).
Delete option is disabled
The Smart List may be shared with another user.
Remove all shared users first, then delete.
