How to Create and Edit Smart Lists

Smart Lists are dynamic contact lists that automatically update based on filters you define, keeping your contacts segmented in real time.

Who This Is For / When to Use

Use Smart Lists when you need automatically updating contact segments based on contact data, activity, offers, communities, pipelines, or Client Portal status.


What Is a Smart List

A Smart List is a saved set of filters applied to contacts. Any contact that matches the filters appears in the list automatically. When a contact no longer matches, it is removed automatically.


How to Create a Smart List

Step 1: Open Contacts

  1. Go to Contacts from the main navigation.

  2. Click + Add Smart List at the top of the Contacts page.


Step 2: Open Advanced Filters

  1. Click Advanced Filters above the contacts table.

  2. The Advanced Filters panel opens on the right.


Step 3: Choose a Filter Category

  1. Browse or search for a filter category such as:

    • Opportunity Information

    • Client Portal

    • Offer

    • Product

    • Attribution

  2. Click the category to expand available filters.


Step 4: Configure Your Filter

  1. Select a field (example: Offer, Address, Pipeline Stage, etc).

  2. Choose a condition (example: Is, Is Not, Empty, Not Empty).

  3. Select or enter the value.


Step 5: Add More Filters (Optional)

  • Click + Add Filter to add another condition.

  • Use OR to create alternate logic.

  • Use + Add nested filter for grouped logic.


Step 6: Save the Smart List

  1. Click Save as Smart List.

  2. Enter a name for the Smart List.

  3. Save.

The Smart List now appears as a tab in Contacts.


How to Edit a Smart List

  1. Open Contacts.

  2. Click the Smart List tab you want to edit.

  3. Click Advanced Filters.

  4. Modify, add, or remove filters.

  5. Changes save automatically.


How to Manage Smart Lists

From the Smart List options menu, you can:

  • Rename the Smart List

  • Duplicate the Smart List

  • Share the Smart List

  • Delete the Smart List


Common Issues and Fixes

Smart List is empty

  • Confirm filter values exist on contact records.

  • Check for conflicting AND / OR logic.

Contacts missing from Smart List

  • Verify the contact meets all active filter conditions.

  • Confirm fields used in filters are populated.

Filters not available

  • Ensure the related feature (Offers, Communities, Client Portal) is enabled in the account.

Smart Lists support advanced filters including:

  • Created By

  • Last Updated By

  • Inbound DND Status

  • Outbound DND Status

  • Website

  • Instagram ID

  • Facebook ID

  • Google ID

  • Country

  • Timezone

  • Valid Email

  • Last Activity Time

  • Source Type

  • Additional Emails and Phone Numbers
