Appointment Reporting provides a comprehensive, filterable view of booking performance, appointment outcomes, channels, sources, and calendar usage to help you optimize scheduling and team performance.

Who This Is For / When to Use

This feature is for account owners, admins, and managers who need visibility into appointment activity, trends, and outcomes across calendars and users.


Use it to analyze booking volume, cancellations, reschedules, no-shows, and performance by day, owner, source, or calendar.

Accessing Appointment Reporting

You can access Appointment Reporting directly from the Reporting area.

Steps

  1. Open the left-hand navigation menu.

  2. Click Reporting.

  3. Select Appointment Report.

Date Range and Filters

Appointment Reporting can be scoped to specific data ranges and filters.

Available controls

  • Date range selector: Filter appointments by requested date.

  • Calendar filter: View data from all calendars or a specific calendar.

  • Status filter: Filter by appointment status (e.g., Booked, Confirmed, Cancelled).

  • Sort options: Adjust how records are ordered in the table view.

Each filter updates all widgets and charts in real time.

Appointment Status Metrics

At the top of the report, numeric widgets display total counts by status.

Statuses included

  • Booked

  • Confirmed

  • Cancelled

  • New

  • Showed

  • No Show

  • Invalid

  • Rescheduled

These totals reflect all appointments within the selected date range and filters.

Channel Breakdown

The Channel donut chart shows how appointments entered the system.

Channel definitions

  • Booked by Link: Appointments booked directly through a Kyrios calendar link.

  • Synced Events: Events with at least one attendee that were synced from a third-party calendar (such as Google, Outlook, iCloud, or Calendly).

This section helps you understand how appointments are being created.

Source Breakdown

The Source donut chart displays where bookings originated.

What this shows

  • Funnel-based bookings

  • Campaign or page-level sources

  • Other tracked appointment entry points

This data is useful for measuring marketing and funnel performance.

Outcomes Overview

The Outcomes chart summarizes what happened after appointments were booked.

Included outcomes

  • Confirmed

  • Showed

  • Cancelled

  • No Show

This section focuses on appointment quality and follow-through.

Performance Charts

Appointment Reporting includes multiple bar charts for performance analysis.

Available charts

  • Top 5 Most Booked Calendars: Calendars with the highest booking volume.

  • Top 5 Appointment Owners: Users with the most assigned appointments.

  • Most Popular Days: Appointments booked by day of the week.

  • Top 5 Calendars with Cancellations: Calendars with the most cancellations.

  • Top 5 Calendars with Reschedules: Calendars with the most rescheduled appointments.

Each chart reflects the currently selected filters and date range.

Appointment List View

The bottom section displays a table of individual appointments.

Table capabilities

  • Filter by appointment status.

  • Customize visible columns using Columns.

  • Review appointment details including calendar, contact, owner, mode, and source.

  • Export appointment data using Export.

This list provides record-level visibility for audits and follow-up.

Data Export

You can export appointment data at any time.

Export behavior

  • Exports reflect active filters and date range.

  • Data is downloaded as a file for external reporting or analysis.

Common Issues and Fixes

Appointments missing from the report
Ensure the correct date range and calendar filters are selected.

Cancelled appointments not appearing in analytics
If an appointment was deleted instead of cancelled, it will not appear in cancellation metrics. Use cancellation statuses for tracking lost appointments.

Counts not matching calendar expectations
Confirm whether events are booked directly or synced from third-party calendars, as both appear under different channels.

How do I access Appointment Reporting?

Go to Reporting in the left-hand menu and select Appointment Report.

What does “Synced Events” mean in the Channel chart?

Synced Events are appointments that originated from a connected third-party calendar and include at least one attendee.

Can I export appointment data?

Yes. Click Export in the appointment list to download the filtered data.

Does deleting an appointment remove it from reports?

Deleted appointments are removed from active booking metrics. To retain historical data, use the Cancelled status instead of deleting.

Can I customize what data I see?

Yes. You can filter by date, calendar, and status, customize table columns, and export filtered results for custom analysis.
