Getting Started: Set Up Email, Phone, and SMS

This guide explains how to set up email sending, purchase phone numbers, enable call forwarding, and communicate with contacts using Email, SMS, and Calls in Kyrios.

Who This Is For / When to Use

Use this guide if you are:

  • Setting up email and phone communication for the first time

  • Improving email deliverability with a dedicated sending domain

  • Purchasing business phone numbers for calls and SMS

  • Contacting individual contacts or sending bulk communications


Email Service Configuration (Dedicated Sending Domain)

A dedicated sending domain improves email deliverability and protects your main business domain.

Step 1: Open Email Services

  1. Go to Settings > Email Services.

  2. Select Dedicated Domain and IP.


Step 2: Add a Dedicated Domain

  1. Click Add Domain.

  1. Enter a subdomain (for example: mail.yourdomain.com).

  2. Click Add & Verify.


Step 3: Add DNS Records

  1. Copy the provided MX, TXT, and CNAME records.

  2. Log in to your domain registrar.

  3. Add the records exactly as shown.

  4. Return to Kyrios and click Verify Records.


Step 4: Set Email Headers

  1. Click the three-dot menu next to the verified domain.

  2. Select Set Headers.

  1. Enter your From Name and From Email.

  2. Click Save.


Acquire a Phone Number

Phone numbers enable inbound and outbound calls and SMS.

Step 1: Open Phone Numbers

  1. Go to Settings > Phone Numbers.

  2. Click Add Number > Add Phone Number.


Step 2: Choose and Purchase a Number

  1. Select a country.

  2. Filter by area code if needed.

  3. Choose a number.

  4. Click Proceed to Buy.


Configure Call Forwarding

Call forwarding routes inbound calls to another phone number.

Step 1: Open Number Settings

  1. In Settings > Phone Numbers, locate your active number.

  2. Click the three-dot menu.

  3. Select Edit Configuration.


Step 2: Set Forwarding Destination

  1. Enter the phone number where calls should be forwarded.

  2. Adjust timeout and call options if needed.

  3. Click Save.


Contact an Individual Contact

You can call, text, or email directly from a contact record.

Steps

  1. Go to Contacts.

  2. Open a contact.

  3. Click the phone icon to place a call.

  4. Use the message composer to send SMS or Email.


Send Bulk Email or SMS to Contacts

Bulk actions allow you to contact many contacts at once using filters.

Step 1: Filter Contacts

  1. Go to Contacts.

  2. Click Advanced Filters.

  3. Apply your desired criteria.


Step 2: Select Contacts

  1. Use the checkbox at the top of the list to select filtered contacts.


Step 3: Run a Bulk Action

  1. Choose an action such as Send SMS or Send Email from the top menu.

  2. Complete and send the message.


Step 4: Manage Bulk Options

Bulk actions also support tagging, automation triggers, exports, and deletions.


Common Issues and Fixes

Domain Does Not Verify

  • Confirm there are no conflicting DNS records.

  • Ensure records are added to the correct subdomain.

  • Allow up to 24 hours for DNS propagation.

Emails Going to Spam

  • Verify SPF, DKIM, and DMARC records.

  • Warm up the domain by sending small batches first.

  • Avoid sending to cold or purchased lists.

Calls Not Forwarding

  • Confirm the forwarding number is entered in full international format.

  • Check call timeout settings.

  • Ensure sufficient calling credits.


FAQ

Why must I use a subdomain for email sending?

Using a subdomain allows Kyrios to manage required DNS records without affecting your primary business email inbox and protects your main domain’s reputation.


Can I change the “From Name” for different emails?

Yes. You can set a default header and override it in individual email templates or workflow actions.


Can calls be forwarded to international numbers?

Yes. The forwarding number must be entered in international format and your account must support international calling.


Is there a limit on bulk messages?

Large sends are processed in batches to protect deliverability. Progress can be monitored in bulk activity logs.


Does call forwarding apply to SMS?

No. Call forwarding applies only to voice calls. SMS messages remain in Kyrios and can trigger notifications or automations.
