Outlook Calendar Integration

Connect Outlook Calendar to Kyrios to sync availability, write appointments, manage conflicts, and control Outlook invitation emails sent to attendees.

Who This Is For / When to Use

Use this feature if you want Kyrios appointments to sync with Outlook Calendar and send calendar invitations or updates through Outlook.

This applies to users managing appointments with Teams Calendars such as Round Robin, Collective, or Service Calendars.


Supported Outlook Accounts

Kyrios supports the following Outlook calendar providers:

  • Outlook.com

  • Office 365

  • Live.com

  • Hotmail

Only one Outlook account can be connected per Kyrios user. Event Calendars are not supported.


Step 1: Connect Outlook Calendar

  1. Go to Settings > Profile.

  2. Scroll to Calendar Settings.

  3. Click Connect next to Outlook Calendar.


Step 2: Set Outlook as the Primary Calendar

  1. Go to Settings > Profile.

  2. Under Calendar Configuration, locate Primary Calendar.

  3. Click Edit.

  4. Select your connected Outlook account.

  5. Choose the specific Outlook calendar to enable read/write access.

The Primary Calendar:

  • Reads all existing events for availability

  • Writes all Kyrios appointments back to Outlook


Step 3: Configure Conflict Checking

  1. In Calendar Configuration, find Check for Conflicts.

  2. Click Edit.

  3. Select which connected calendar should be read for conflicts.

Only the selected calendar is used to block availability.


Step 4: Control Outlook Invitation & Update Emails

Kyrios allows you to control whether Outlook sends invitation and update emails to attendees.

  1. Open your calendar.

  2. Go to Notifications & Additional Options.

  3. Enable or disable Allow Google / Outlook Calendar to send invitation & update emails to attendees.

When enabled:

  • Outlook sends meeting invites

  • Outlook sends updates when appointments are changed

When disabled:

  • Kyrios manages notifications

  • Outlook does not email attendees


How Outlook Updates Appear to Attendees

When Outlook notifications are enabled, attendees receive standard Outlook update emails when appointments change.

This includes:

  • Updated time

  • Updated location

  • Updated meeting link


Resyncing Outlook Appointments

If appointments are not syncing correctly:

  1. Go to Primary Calendar > Edit.

  2. Select Do not sync events to the primary calendar.

  3. Click Save.

  4. Edit the Primary Calendar again.

  5. Re-select the same Outlook calendar.

  6. Save.

This forces a full resync.


Common Issues and Fixes

Appointments not syncing
Reconnect the Primary Calendar using the resync steps above.

Duplicate bookings
Ensure the correct calendar is selected under Check for Conflicts.

No Outlook emails sent
Confirm Allow Google / Outlook Calendar to send invitation & update emails to attendees is enabled.


FAQ

Is Outlook integration supported for Event Calendars?

No. Outlook integration works only with Round Robin, Collective, and Service Calendars.

Can I use Google Calendar and Outlook Calendar together?

Yes. You can connect both calendars and choose one as the Primary Calendar while using the other for conflict checking.

Can appointments be written to both Google and Outlook at the same time?

No. Appointments can only be written to one Primary Calendar.

Can I connect multiple Outlook accounts?

No. Each Kyrios user can connect only one Outlook account.

Do recurring Outlook events block availability?

Yes. Recurring events are read as conflicts and block availability on your booking page.

Will changes made in Kyrios update Outlook?

Yes. Appointment changes made in Kyrios sync back to Outlook when the integration is active.

What should I do if the Outlook connection fails?

Recheck permissions during connection. If the issue continues, reconnect the Outlook Calendar from Calendar Settings.
