Availability and Timezone Settings control when appointments can be booked and ensure bookings align correctly across users, calendars, and locations.

Who This Is For / When to Use

Use this article if appointments are not appearing, times look incorrect, or you need to control working hours for individual or group calendars.


What Availability Controls

Availability determines when a calendar can accept bookings.

The system checks:

  • Calendar availability rules

  • User availability (for group calendars)

  • Connected external calendars

  • Selected timezone

If any of these block a time, the slot will not appear.


Accessing Availability Settings

  1. Go to Settings → Calendars.

  2. Edit the calendar you want to update.

  3. Open the Availability tab.


Setting the Calendar Timezone

The timezone determines how availability and bookings are displayed.

Steps:

  1. Open the Availability tab.

  2. Select the correct Timezone.

  3. Save your changes.

All booking times will follow this timezone.


Configuring Working Hours

Working hours define the default time range when bookings are allowed.

You can:

  • Enable or disable specific days

  • Set start and end times per day

  • Add multiple time blocks per day


Adding Multiple Availability Blocks

You can create more than one availability window on the same day.

This is useful for:

  • Split shifts

  • Lunch breaks

  • Different morning and evening availability

Steps:

  1. Click Add Timeframe.

  2. Define the additional time range.

  3. Save changes.


Copying Availability to All Days

To apply the same availability across the week:

  1. Configure availability for Monday.

  2. Click Copy to All Days.

This duplicates the time range for every day.


Availability and Group Calendars

For group calendars, availability is checked at multiple levels:

  • The calendar’s availability

  • Each assigned user’s availability

  • Connected calendars for each user

A time slot appears only if at least one user is available.


Availability and External Calendars

Connected external calendars block availability automatically.

If an external event exists:

  • That time is blocked

  • Double bookings are prevented

Ensure calendar sync is active for accurate blocking.


Important Notes

  • Availability settings are calendar-specific

  • Timezone mismatches can cause bookings to appear at incorrect times

  • Availability changes apply immediately


Common Issues and Fixes

No availability showing
Check timezone, working hours, and connected calendars.

Times appear shifted
Verify the selected timezone matches your intended booking region.

Group calendar shows fewer slots
Ensure multiple users have overlapping availability.

Why aren’t any time slots available?

One or more availability rules are blocking the time, including user availability or connected calendars.

Does availability override external calendars?

No. External calendar events always block availability.

Is availability shared across calendars?

No. Each calendar has its own availability configuration.

Can I set different availability per day?
