Use this article if you build workflows that automatically book appointments.
Use the Timezone field when the appointment start time may come from a dynamic value, such as a contact’s timezone, a form response, or another workflow field.
This is especially useful when contacts are in different regions and appointment times must be booked for the intended absolute time.
What Changed
The Book Appointment workflow action now includes a required Timezone field.
The Timezone field controls how Kyrios interprets the Start Date & Time before booking the appointment.
You can set the Timezone field to:
A fixed timezone.
A dynamic value.
The contact’s timezone, when available.
How Timezone Control Works
When the Book Appointment action runs, Kyrios reads the Start Date & Time using the selected Timezone.
Kyrios then books the appointment for the correct absolute time.
If no custom timezone value is selected, Kyrios uses the account timezone by default.
The selected timezone is also used when Kyrios checks calendar slot availability.
How to Set the Timezone for a Book Appointment Action
Open the workflow that contains the Book Appointment action.
Click the Book Appointment action.
Set the Start Date & Time.
In the Timezone field, choose a fixed timezone or insert a dynamic timezone value.
Confirm the Calendar and Team Member fields are correct.
Click Save action.
The workflow will use the selected timezone each time this action runs.
When to Use a Fixed Timezone
Use a fixed timezone when every appointment should be interpreted in the same timezone.
Example:
A business only books appointments in America/Chicago time.
In this case, the Timezone field should be set to the fixed timezone for America/Chicago.
When to Use a Dynamic Timezone
Use a dynamic timezone when appointment times should be interpreted differently for each contact.
Example:
A workflow books appointments for contacts across multiple regions.
In this case, the Timezone field can use the contact’s timezone so the Start Date & Time is interpreted correctly for that contact.
Default Behavior
If the Timezone field is not customized, Kyrios defaults to the account timezone.
The account timezone is used to interpret the Start Date & Time and check calendar availability.
Users can change the Timezone field to a fixed timezone or dynamic timezone value when needed.
Override Availability Behavior
If Override Availability is turned off, Kyrios checks calendar availability using the selected timezone before booking the appointment.
If Override Availability is turned on, Kyrios books the appointment without checking calendar availability.
The selected timezone still controls how the Start Date & Time is interpreted.
Notes and Limitations
This update applies only to the Book Appointment workflow action.
The Timezone field controls how the Start Date & Time is interpreted.
The Timezone field is also used when Kyrios checks available calendar slots.
If no timezone is selected, Kyrios uses the account timezone.
Override Availability bypasses calendar availability checks but does not remove the timezone interpretation step.
Common Issues and Fixes
Appointment booked hours earlier or later than expected
Check the Timezone field in the Book Appointment action.
The Start Date & Time is interpreted using the selected timezone. If the wrong timezone is selected, the appointment may appear hours off.
Appointment uses the account timezone instead of the contact’s timezone
Confirm that the Timezone field is set to a dynamic contact timezone value. If the Timezone field is not customized, Kyrios uses the account timezone by default.
Calendar availability is checked in the wrong timezone
Confirm the Timezone field matches the timezone that should be used for slot availability. Kyrios uses the selected timezone to check calendar availability before booking the appointment.
Appointment books even when no calendar slot is available
Check whether Override Availability is turned on.
When Override Availability is turned on, Kyrios books the appointment without checking calendar availability.
