How to Integrate Calendly Event Importer

This article explains how to connect a Calendly account to import events into your Kyrios account and how the event sync behaves.

Who This Is For / When to Use

  • You use Calendly to schedule meetings and want those events imported into Kyrios.

  • You want Calendly events to create appointments and contacts automatically.

  • You plan to trigger automations or workflows from Calendly bookings.


Prerequisites and Limitations

Prerequisites

  • You must have access to a Calendly account.

  • You must be a member of at least one Calendly calendar.

  • Only calendars you are part of can be synced.

Limitations

  • Each Kyrios account can connect only one Calendly account.

  • A Calendly account cannot be connected to multiple Kyrios accounts at the same time.

  • Supported Calendly plans:

    • Standard

    • Teams

    • Enterprise

  • The Calendly free plan is not supported.

  • Trial plans will work temporarily but will stop syncing if not upgraded.


Step 1: Access Calendar Connections

To begin the integration, open the calendar connection settings.

Steps

  1. Navigate to Calendars.

  2. Open Calendar Settings.

  3. Go to the Connections section.


Step 2: Add Calendly as a New Connection

Steps

  1. Click Add New.

  2. Select Calendly from the list.

  3. Click Connect.

This starts the Calendly authentication process.


Step 3: Authenticate Your Calendly Account

Steps

  1. Sign in to your Calendly account.

  2. Grant the required permissions.

Authentication is required to allow Kyrios to import events.


Step 4: Select Calendars to Import Events From

After authentication, choose which Calendly calendars should sync.

Steps

  1. Select one or more Calendly calendars.

  2. Only selected calendars will import events.

Events from unselected calendars will not sync.


Step 5: Give Consent and Complete Setup

Steps

  1. Check the consent box.

  2. Click Save.

Your Calendly integration is now active.


Phone Number Sync for Calendly Appointments

If phone numbers exist in multiple places, a mapping modal will appear.

How It Works

  • You can choose whether the phone number is pulled from:

    • Meeting location, or

    • A specific booking form question

  • Your selection is saved and applied to future events.


How the Calendly Integration Works

Calendly behaves differently from native calendar integrations.

Event Sync Behavior

  • Events sync only while the integration is active.

  • Removing a calendar stops future syncing.

  • Reconnecting a calendar:

    • Syncs upcoming events

    • Syncs past events created within the last 180 days

Workflow Behavior

  • Workflows trigger only for future events.

  • Past events synced during initial setup do not trigger workflows.


Editing Synced Calendars

You can modify which calendars sync at any time.

Steps

  1. Go to Calendar Settings β†’ Connections.

  2. Locate Calendly.

  3. Click the Edit icon.

  4. Add or remove calendars.

  5. Save your changes.


Deleting Calendly Events

When a Calendar Is Deselected

  • You can choose to delete all events from that calendar.

  • Deleted events cannot be recovered.

  • Reconnecting the calendar syncs only new events.

Shared Calendar Behavior

  • Events are deleted only when all connected team members agree.

  • If one user keeps the event, it remains visible.


Removing the Calendly Integration Entirely

If you disconnect Calendly completely:

  • You may delete all synced events across calendars.

  • Deleted events cannot be recovered.

  • Reconnecting later syncs only newly created events.


FAQ

How far back are past events imported?

Events created within the last 180 days are imported.

Can I edit Calendly events from Kyrios?

No. Events must be edited in Calendly.

Is this a two-way sync?

No. The integration is one-way from Calendly to Kyrios.

What happens if a Calendly event is deleted?

Deleted events are removed from Kyrios during the next sync cycle.

How are guests handled?

Each guest is created as a contact, allowing automations to run.

Who owns synced appointments?

  • Personal calendars: the user who connected Calendly.

  • Shared calendars: ownership is randomly assigned.
