Managing Credential Expiry, Reminders, Verification, and Exports in Kyrios

Manage certificate and badge expiration dates, reminder emails, public verification, and CSV exports for issued credentials.

Who This Is For / When to Use

Use this when you need to:

  • Set expiration dates on certificates or badges

  • Send automated reminder emails before expiry

  • Allow public verification of credentials

  • Export issued credential data for reporting


Setting an Expiration Date on a Credential Template

Expiration settings are applied at the template level.

  1. Go to Credentials.

  2. Open the Templates tab.

  3. Click the three-dot menu on a certificate or badge.

  4. Select Set Expiry.


Expiration Options

You can choose one of the following:

  • Never โ€“ The credential never expires.

  • Select a date โ€“ The credential expires on a specific date.

When a date is selected, all newly issued credentials inherit that expiration.


Sending Expiry Reminder Emails

Kyrios can send automated reminder emails before expiration.

  1. Enable Reminder email 1 or Reminder email 2.

  2. Enter the number of days before expiry.

  3. Save the expiration settings.

Reminder emails are sent automatically. The final expiry-day email cannot be disabled.


How Expiration Affects Issued Certificates

  • Expired credentials remain visible but are marked as expired.

  • Verification pages display the expiration status.

  • Members cannot modify expired credentials.


Public Credential Verification

Each issued certificate or badge includes a verification page.

Verification pages show:

  • Issued to

  • Issued by

  • Issue date

  • Expiry date (if applicable)

Anyone with the link can verify authenticity.


Member Access to Issued Certificates

Members can access credentials anytime from the Client Portal.

  1. Log in to the Client Portal.

  2. Click Manage Your Account.

  3. Open Certificates.


Exporting Issued Certificates and Badges

You can export issued credential data as a CSV file.

  1. Go to Credentials > Issued Certificates or Issued Badges.

  2. Apply date filters if needed.

  3. Click Export CSV.

  4. Download the file.


Whatโ€™s Included in the CSV Export

The export file includes:

  • Recipient name

  • Credential title

  • Issue date

  • Expiry date

  • Credential type

  • Source (course, workflow, or manual)


Common Issues and Fixes

  • Expiry not applying: Expiry only affects credentials issued after the setting is saved.

  • Reminder not sent: Confirm the credential has an expiry date set.

  • Export button missing: Ensure you are viewing the Issued Certificates or Issued Badges tab.


FAQ

Can I change the expiry date after certificates are issued?

No. Expiry changes only apply to future issuances.

Do expired certificates get deleted?

No. Expired credentials remain visible and verifiable.

Can I disable expiry reminder emails?

You can disable advance reminders, but the expiry-day email is always sent.

Can members still download expired certificates?

Yes. Expired certificates can still be viewed and downloaded.
