Use Physical Deskphones linked to Kyrios Systems (SIP Endpoints)

This guide explains how to connect and use a physical VoIP deskphone with Kyrios using SIP endpoints for making and receiving tracked calls.

Overview: VoIP Deskphone (SIP) in Kyrios

Kyrios supports physical VoIP deskphones using SIP (Session Initiation Protocol).
Once configured, your deskphone is fully integrated with Kyrios calling features.

You can:

  • Make outbound calls from your deskphone using your Kyrios number.

  • Receive inbound calls routed through Kyrios.

  • Perform blind call transfers to other Kyrios users.

  • Record and log calls automatically in Kyrios.


Access the VoIP Deskphone (SIP) Settings

  1. Go to Settings.

  2. Open Phone System.

  3. Select Advanced Settings.

  4. Click VoIP deskphone (SIP).

This section contains all SIP setup, testing, and device management options.


Set Up SIP Configuration

Create a SIP Domain (One-Time Setup)

  • The SIP Domain / SIP Endpoint is created once per account.

  • This domain is used by all SIP deskphones in the account.

  • The SIP domain cannot be changed after creation.


Create a SIP User

Each physical deskphone requires its own SIP user.

  1. Open Setup SIP.

  2. Enter an Extension / Username (3–5 digits recommended).

  3. Create a Password and store it securely.

  4. Assign the SIP user to a Kyrios user.

Rules:

  • One SIP user per Kyrios user.

  • One physical deskphone per SIP user.


Configure Your Physical Deskphone

Enter the following details into your deskphone’s SIP settings:

  • SIP Server URL: Provided in Kyrios

  • Username: SIP extension (example: 3001)

  • Password: SIP password you created

After saving, the deskphone should register successfully with the Kyrios SIP server.


Test Your Deskphone

Use the built-in testing tools to confirm proper setup.

  1. Open Test Calls.

  2. Select the SIP user.

  3. Test:

    • Outgoing calls using the physical deskphone.

    • Incoming calls using the Test Ring option.

If the phone rings and calls connect, setup is complete.


Manage SIP Devices

From Manage Devices, you can:

  • Reset SIP passwords.

  • Remove deskphones.

  • Add additional SIP users (for additional deskphones).

  • View device status.


Common Issues and Fixes

Deskphone not registering

  • Confirm SIP server URL, username, and password.

  • Ensure the SIP domain was created correctly.

  • Restart the deskphone after saving settings.

Calls not connecting

  • Verify the SIP user is assigned to a Kyrios user.

  • Confirm the Kyrios user has calling permissions.

  • Re-test using the Test Calls section.

Phone rings but no audio

  • Check firewall or network SIP/UDP restrictions.

  • Confirm the deskphone supports SIP protocol v2 or later.


FAQ

Can an account have multiple SIP domains?

No. Each account supports only one SIP domain.

Can I use my existing VoIP deskphone?

Yes. Any deskphone that supports SIP registration can be used. A factory reset is recommended before setup.

Can one Kyrios user use multiple deskphones?

No. Each physical deskphone must be linked to a separate Kyrios user.

Can deskphones be used by remote or hybrid teams?

Yes. Deskphones can register from any location as long as network access is available.

Are call transfers supported?

Yes. Blind transfers can be performed directly from the deskphone.

Is call recording supported?

Yes. Calls made and received through SIP deskphones are logged and recorded in Kyrios.
