Integrating Gmail as an Email Service in Kyrios

This guide explains how to generate a Gmail app password and connect Gmail SMTP to Kyrios for sending emails securely.

Who This Is For / When to Use

Use this article if you want to send emails from Kyrios using a Gmail or Google Workspace account and need to authenticate via Gmail SMTP.


Important Notes (Read Before You Start)

  • Gmail requires 2-Step Verification to create app passwords.

  • The legacy "Allow less secure apps" option is no longer supported.

  • As of 2024, free email providers (Gmail, Yahoo, Outlook.com) are not recommended for bulk sending.

  • For high-volume or business email, use Google Workspace or Microsoft 365 with a custom domain.

  • Users in the Philippines may need a VPN when connecting to Gmail SMTP.


Step 1: Confirm You Are Logged Into the Correct Google Account

  1. Go to google.com.

  2. Click your profile icon in the top-right corner.

  3. Confirm the email address you plan to connect to Kyrios.

4. Click Manage your Google Account.


Step 2: Open Google Account Security Settings

  1. In the left-hand menu, click Security.


Step 3: Enable 2-Step Verification (If Not Already Enabled)

  1. Scroll to How you sign in to Google.

  2. Click 2-Step Verification.

  3. Enter your Google account password.

4. Follow Google’s instructions to complete setup.

If you do not see App passwords, 2-Step Verification is not enabled.


Step 4: Create a Gmail App Password

  1. From Security, click App passwords.

  1. Re-enter your Google account password.

  2. Under App name, enter a label such as SMTP or Kyrios Email.

  3. Click Create.

  1. Copy the 16-character app password shown.

Save this password securely. You will use it in Kyrios.


Step 5: Open Email Services in Kyrios

  1. In Kyrios, click Settings (bottom-left).

  2. Go to Email Services.

  3. Click Add Service.


Step 6: Add Gmail as Your SMTP Provider

  1. Select Gmail as the SMTP provider.

  2. Enter your full Gmail email address.

  3. Paste the app password from Step 4 into the Password field.

  4. Click Save.


Sending Best Practices (Critical for Deliverability)

  • The From Email must exactly match the Gmail account used in SMTP.

  • Do not mix Gmail addresses.

  • Gmail flags mismatched sender emails as spoofing.


Gmail Sending Limits

  • Free Gmail: 500 emails per rolling 24 hours

  • Google Workspace: 2,000 emails per rolling 24 hours

Each recipient counts as one email.


Common Issues and Fixes

App Passwords Not Visible

  • Ensure 2-Step Verification is enabled.

  • Sign in with the correct Google account.

Emails Going to Spam

  • Match SMTP email and From Email.

  • Avoid bulk sending from free Gmail.

  • Use a custom domain with SPF, DKIM, and DMARC.

SMTP Connection Issues (Philippines)

  • Connect using a VPN.


Professional Email Requirement (2024+)

Google and Yahoo require stricter authentication for bulk sending:

  • SPF

  • DKIM

  • DMARC (_dmarc record required)

Free email accounts cannot configure these properly.
