Link Email Templates to Document Templates & Individual Documents

You can now assign unique email settings (From Name, From Email, Subject, and Email Template) to each Document or Contract Template and to individual documents.

Who This Is For / When to Use

This feature is for users who send different contracts or documents that require different email context, branding, or messaging.

Use this when one workflow or contract type should not share the same email template as another.

What’s New

  • Configure From Name and From Email at the Document Template level.

  • Set a custom Email Subject per Document Template.

  • Select a specific Email Template for each Document Template.

  • Override email settings for individual documents when needed.

Each configuration applies automatically when the document is sent via workflows or manual sending.

Where to Find Document Template Email Settings

  1. Go to Payments.

  2. Open Documents & Contracts.

  3. Select Templates.

This opens the Documents & Contracts Templates list where templates can be created or edited.

How to Configure Email Settings on a Document Template

  1. Open an existing Document Template or click New.

  2. Select Settings (gear icon).

  3. Enable Override Email Configuration.

  4. Configure the following fields:

    • From Name

    • From Email

    • Email Subject

    • Email Template

  5. Click Save.

Once saved, these settings are locked to this template.

How These Settings Are Used

  • When a workflow sends a document using this template, the configured email settings are applied automatically.

  • When you manually send a document using this template, the same email settings are used.

  • No additional workflow configuration is required.

Individual Document Overrides

Email settings can also be edited on a single document after it is created.

  • Changes apply only to that document.

  • The original template remains unchanged.

This is useful for one-off exceptions without impacting future sends.

Important Behavior to Know

  • Editing and saving a Document Template overrides any previously inherited global email settings for that template.

  • If global email settings are later updated, existing templates will not auto-update.

  • Manual updates are required if you want templates to match new global settings.

Different contracts often require different email tone, sender identity, or subject lines.
This feature ensures documents are sent with the correct context without duplicating workflows or manual steps.

Can I use different email templates for different contracts?

Yes. Each Document Template can have its own Email Template selection.

Will workflows respect the document’s email settings?

Yes. Workflows automatically use the email settings configured on the Document Template or individual document.

Do I need multiple workflows for different contract emails?

No. One workflow can be reused as long as each Document Template has its own email configuration.

What happens if I don’t enable Override Email Configuration?

The document will use the default email configuration set at the account level.

Can individual documents have different email settings than their template?

Yes. Editing an individual document allows you to override the template’s email settings for that send only.
