Updated over 2 months ago

Who This Is For / When to Use

This article is for users who send documents or contracts and need better control over email messaging, recipients, and branding.

Use this when different document types require different email templates, CC recipients, or subjects.

Core Capabilities Overview

  • Preview email templates before sending documents.

  • Add CC recipients globally or per document.

  • Link specific email templates to document and contract templates.

  • Override global email settings at the template or individual document level.

Each capability works independently and can be combined as needed.

Preview Email Templates (Before Sending)

Email previews let you review the exact message recipients will receive.

Where to Preview Email Templates

  1. Go to Payments → Documents & Contracts.

  2. Click Settings in the top-right corner.

Then:

  1. Scroll to email-related notification sections (for example, Document signed or Document received).

  2. Click Preview next to the Email Template.

This preview shows the email layout, subject, and content exactly as recipients will see it.

Configure Email Settings on Document Templates

You can assign unique email behavior to each document or contract template.

Access Document Template Email Settings

  1. Go to Payments → Documents & Contracts → Templates.

  2. Open an existing template or click + New.

Click the Settings (gear icon) inside the template editor.

Available Template-Level Email Settings

Enable Override Email Configuration to customize:

  • From Name

  • From Email

  • Email Subject

  • Email Template

These settings apply automatically whenever this template is used.

Link Email Templates to Contracts and Documents

When a document is sent using a specific template:

  • The linked email template is applied automatically.

  • The configured subject and sender details are used.

  • Workflows respect the template-level email configuration.

This ensures consistent messaging without duplicating workflows.

Add CC Recipients to Document Emails

CC recipients can be added globally or per document.

Configure CC Recipients at the Document Settings Level

  1. Open Payments → Documents & Contracts → Settings.

  2. Locate Configure CC Recipients.

  3. Enable the toggle and select CC recipients.

CC recipients:

  • Receive the document alongside the primary signer.

  • Receive a signed copy once all signers complete the process.

Add CC Recipients When Sending an Individual Document

  1. Open the document you want to send.

  2. Click Send.

  3. Add email addresses in the CC field before sending.

This applies only to that document and does not affect templates or global settings.

Individual Document Email Overrides

Email settings can be edited directly on a single document.

  • Overrides apply only to that document.

  • Template and global settings remain unchanged.

This is useful for one-off adjustments or exceptions.

Important Behavior to Know

  • Template-level email settings override global defaults.

  • Individual document edits override both global and template settings.

  • Updating global email settings does not retroactively update existing templates.

  • Manual updates are required to align templates with new global settings.
