Bulk Actions: Send Email

Use Bulk Actions in Contacts or Smart Lists to send a one-time email to multiple contacts, immediately or on a schedule.

Who This Is For / When to Use

  • Account users sending one-off announcements or updates.

  • Teams emailing a filtered list or Smart List without building a workflow.

  • Users who want visibility and reporting in Email Marketing for bulk emails.


Select Contacts for a Bulk Email

  1. Go to CRM > Contacts or open a Smart List.

  2. Select individual contacts using the checkboxes next to each record.

  3. To select all contacts on the current page, use the checkbox in the table header.

  4. Click Select all contacts to include every contact in the list.

Result: The bulk action toolbar appears at the top of the list.


Open the Send Email Bulk Action

  1. With contacts selected, click Send Email in the bulk action bar.

Result: A confirmation window opens to review the final recipient list.


Confirm Recipients

  1. Review the Final Recipient List.

  2. Check how many contacts are filtered out (invalid, unsubscribed, or missing email).

  3. Click Confirm and Proceed to continue.


Create the Bulk Email

  1. Enter your email content, or select a saved template.

  2. Use the editor to:

    • Format text

    • Insert links

    • Add merge fields

    • Attach files

  3. Choose how the email should be sent:

    • Send all at once

    • Send all at scheduled time

    • Send in batch mode (drip-style delivery)

  4. Configure batch size, timing, and days if using batch mode.

  5. Click Send Email or Review Campaign to proceed.


Batch Mode (Drip Sending) Behavior

  • Batch mode processes contacts in groups.

  • The interval runs repeatedly until all selected contacts are emailed.

  • Example:

    • 100 contacts every 5 hours

    • 780 contacts = 8 total batches

Important:
The interval does not restart the campaign. It runs continuously until completion.


Track Bulk Email Campaigns

Bulk emails created from Contacts appear in Email Marketing.

  1. Navigate to Email Marketing > Campaigns.

  2. Select Bulk Action Campaigns from the left menu.

Result: You can view status, completion time, and campaign details.


View Campaign Statistics

  1. Open Bulk Action Campaigns.

  2. Click the three-dot menu next to a campaign.

  3. Select View Statistics to see delivery and engagement data.


Common Issues and Fixes

  • Email sent to fewer contacts than selected:
    Contacts without email addresses, unsubscribed (DND), or hard-bounced emails are automatically skipped.

  • Emails not sent immediately:
    Check if batch mode or scheduled sending was enabled.

  • Missing recipients:
    Review the confirmation screen to see filtered-out contacts before proceeding.

How do I select multiple contacts for a bulk email?

Select contacts using the checkboxes, or use the table header checkbox and Select all contacts to include the full list.

Can I use an email template?

Yes. You can write a new email or select a saved template from the editor.

What is batch mode?

Batch mode sends emails in groups at defined intervals until all selected contacts are processed.

Can I schedule a bulk email for later?

Yes. You can send immediately, schedule a future time, or use batch mode.

Can I attach files to a bulk email?

Yes. File attachments are supported directly in the email editor.

What happens if some contacts don’t have email addresses?

Those contacts are automatically skipped and shown as filtered out in the confirmation and logs.

Where can I see reporting for bulk emails?

All bulk email campaigns appear in Email Marketing > Bulk Action Campaigns, with full statistics available.
