Using Bulk Actions in Contacts

Bulk Actions let you perform the same action on multiple contacts at once, such as sending messages, adding tags, exporting data, or deleting contacts.

Who This Is For / When to Use

Use Bulk Actions when you need to apply the same change or communication to many contacts at the same time instead of updating them individually.


What Are Bulk Actions

Bulk Actions are available from the Contacts list after selecting one or more contacts. Actions run in the background and can be tracked from the Bulk Actions page.

Bulk Actions support:

  • Messaging (Email, SMS, WhatsApp)

  • Tag management

  • Updating pipeline stage

  • Importing, Exporting, and Merging contacts

  • Deleting contacts

  • Adding contacts to automations


Select Contacts for Bulk Actions

  1. Go to Contacts.

  2. (Optional) Click a Smart List to filter contacts.

  3. Use the checkbox next to a contact name to select individual contacts.

  4. Use Select All to select all contacts in the list.

Once contacts are selected, the Bulk Actions toolbar appears at the top of the list.


Open the Bulk Actions Menu

After selecting contacts, choose an action from the top toolbar:

  • Export

  • Trigger Automation

  • Send Email

  • Add Tags

  • Delete

  • More (additional actions)


Track Bulk Action Progress

All Bulk Actions run asynchronously. You can monitor progress and results from the Bulk Actions page.

  1. Navigate to Bulk Actions.

  2. Review status, action type, user, and completion time.


Filter and Review Bulk Actions

Use filters to narrow results by:

  • Date range

  • Status

  • Action type

  • User


View Action Details and Restore (When Available)

Some Bulk Actions, such as delete actions, provide additional options:

  • View Details to see per-contact results

  • Restore to recover deleted contacts (within the allowed restore period)


View Bulk Action Statistics

Click the statistics icon to see success and error counts for an action.


Common Notes About Bulk Actions

  • Bulk Actions are processed over time.

  • Large contact selections may take longer to complete.

  • You can safely leave the page while actions continue running.


What Each Action Does / How to Use Them

Here's what each action does and how to configure it correctly.


Send Bulk Email

Use Bulk Email to send the same email message to multiple selected contacts.

Steps

  1. Select one or more contacts.

  2. Click Send Email.

  3. Choose an existing email template or type a message.

  4. (Optional) Add attachments.

  5. Choose a sending mode:

    • Send All at Once

    • Send at Scheduled Time

    • Send in Drip Mode

  6. (Optional) Send a test email.

  7. Click Send Email.

Drip Mode Options (Email)

When using Drip Mode, configure:

  • Start date and time

  • Number of messages per batch

  • Repeat interval (days or hours)

  • Allowed sending days

  • Optional time window


Send Bulk WhatsApp Messages

Use this action to send a WhatsApp template message to multiple contacts.

Steps

  1. Select contacts.

  2. Click More > Send WhatsApp.

  3. Select a WhatsApp template.

  4. Enter an action name.

  5. Click Confirm.


Add or Remove Tags

Use Add Tags to apply one or more tags to all selected contacts. Use Remove Tags to remove specific tags or all tags from selected contacts.

Steps

  1. Select contacts.

  2. Click Add Tags or Remove Tags.

  3. Enter an action name.

  4. Select one or more tags, or if removing, you can select to remove all tags.

  5. Click Add Tags or Remove Tags.


Export Contacts

Use Export to download selected contacts as a file.

Steps

  1. Select contacts.

  2. Click Export.

  3. Confirm the export.

  4. Wait for the export to complete.

Export files remain available for 30 days.


Delete Contacts

Use Delete to permanently remove contacts.

Steps

  1. Select contacts.

  2. Click Delete.

  3. Type DELETE to confirm.

  4. Click Delete.

Deleted contacts can be restored within the allowed restore period.


Merge Contacts

Use Merge when duplicate contacts exist. Merging contacts is a non-reversible action.

Steps

  1. Select exactly two contacts.

  2. Click More > Merge.

  3. Choose the master contact.

  4. Select which field values to keep.

  5. Confirm the merge.


Manage Companies (Add or Remove)

Use Manage Companies to associate or remove contacts from a company.

Steps

  1. Select contacts.

  2. Click More > Manage Companies.

  3. Choose Add/Update to company or Remove from company.

  4. Enter an action name.

  5. Select a company.

  6. Click Confirm.


Request Reviews

Use Request Reviews to send review requests to selected contacts.

Steps

  1. Select contacts.

  2. Click More > Request Reviews.

  3. Enter an action name.

  4. Select the review request type (SMS, Email, or WhatsApp).

  5. Choose a sending mode.

  6. Click Send Review Request.


Add Contacts to Automations

Use Add to Automation to enroll contacts into a workflow or campaign.

Steps

  1. Select contacts.

  2. Click Trigger Automation.

  3. Select a workflow or campaign.

  4. Choose a sending mode.

  5. Configure drip or schedule settings if applicable.

  6. Click Add to Automation.

Manage Opportunities

Use Manage Opportunities to bulk create or update opportunities (pipeline records) for multiple contacts at once.

Steps

  1. Navigate to Contacts > Contacts or open a Smart List.

  2. Select the contacts you want to update.

  3. Click More > Manage Opportunities.

  4. In the Add/Update Opportunity modal:

    • Action Name – Required. Used for tracking in Bulk Actions.

    • Select Pipeline – Choose the pipeline.

    • Select Stage – Choose the stage within the pipeline.

    • Add optional fields such as Opportunity Name, Lead Value, Status, or custom fields.

  5. Click Add/Update Opportunity to start the bulk action.


Send SMS

Use Send SMS to send a one-time SMS message to selected contacts. Messages can be sent immediately, scheduled, or sent in drip mode.

Steps

  1. Select the desired contacts.

  2. Click More > Send SMS.

  3. Click Ok, proceed to confirm the recipient list.

  4. Select a From Phone Number

  5. Type your message or choose from SMS Templates.

  6. Choose a sending mode

  7. Enter an Action Name for reporting.

  8. Click Send SMS to begin the bulk action.


Common Issues and Fixes

  • Action is taking a long time: Large contact selections take longer to process.

  • Contacts not receiving messages: Verify contact channel availability (email, phone, WhatsApp).

  • Merge option missing: Merge is only available when exactly two contacts are selected.

Drip Mode Processing Behavior

When a bulk action runs in Drip Mode, processing happens in batches.

Important behavior:

  • Repeat After functions as run every, not restart.

  • Example: 100 contacts every 5 hours until all selected contacts are processed.

  • Large selections are automatically split into batches.

Frequently Asked Questions

What happens when I delete a contact using Bulk Actions?

Deleting a contact removes it from Conversations, Notes, Opportunities, Tasks, Appointments, Manual Actions, Community Groups, and Campaigns. This action is permanent unless restored within the allowed window.

Can I cancel a Bulk Action after it starts?

Yes. Go to Contacts > Bulk Actions, open the action menu (⋮), and select Pause or Cancel.

What does “Repeat After” mean in Drip Mode?

"Repeat After" functions as run every. Contacts are processed in batches until all selected contacts are completed.

What happens if I don’t filter an automation trigger?

The automation may run for more contacts than intended. Always apply filters for precise targeting.

What is the difference between “All at Once” and “Drip Mode”?

  • All at Once: Sends to all contacts at the same time.

  • Drip Mode: Sends in controlled batches over time.


When to Use Bulk Actions vs Automations

Use Bulk Actions When:

  • You need a one-time action

  • You are cleaning or updating contact data

  • You are sending a single campaign or message

Use Automations When:

  • Actions should repeat automatically

  • Logic or branching is required

  • Long-term workflows are needed


Validation Checklist Before Running Bulk Actions

  • Confirm contact selection

  • Verify Smart List filters

  • Use Drip Mode for large sends

  • Confirm admin permissions if required

  • Review irreversible actions carefully
