Workflows: Multi-Select for Forms and Surveys

Multi-select for Forms and Surveys allows you to select multiple forms or surveys within a single workflow trigger instead of creating separate triggers.

Updated over 3 months ago

Who This Is For / When to Use

Use this feature if you want to:

  • Trigger one workflow from multiple forms

  • Trigger one workflow from multiple surveys

  • Reduce duplicate triggers and simplify workflow logic

This is commonly used for lead intake, qualification workflows, and survey-based automations.

What Multi-Select Does in Workflows

Multi-select allows you to choose more than one form or survey inside a single trigger.

Instead of creating one trigger per form or survey, you can:

  • Select multiple forms under Form Submitted

  • Select multiple surveys under Survey Submitted

  • Maintain cleaner, easier-to-manage workflows

Step 1: Create or Open a Workflow

  1. Navigate to Automations from the left sidebar.

  2. Click Workflows.

  3. Click Create Workflow, or open an existing workflow from the list.

Step 2: Add a Multi-Select Form Trigger

  1. In the workflow builder, click Add New Trigger.

  2. Select Form Submitted as the trigger type.

  3. In the Form is filter, select multiple forms from the dropdown.

  4. Click Save Trigger.

The workflow will now trigger when any selected form is submitted.

Step 3: Add a Multi-Select Survey Trigger

  1. Click Add New Trigger again.

  2. Select Survey Submitted as the trigger type.

  3. In the Survey is filter, select one or more surveys.

  4. (Optional) Add additional filters such as disqualification status.

  5. Click Save Trigger.

The workflow will trigger when any selected survey is submitted.

How This Improves Automation Design

  • Fewer triggers: One trigger replaces many

  • Simpler workflows: Easier to audit and maintain

  • Consistent logic: Centralized automation for similar entry points

Common Issues and Fixes

Workflow does not trigger

  • Confirm the workflow is Published, not Draft.

  • Ensure at least one form or survey is selected.

  • Verify the submission matches the selected filters.

Only some submissions trigger the workflow

  • Check that the submitted form or survey is included in the multi-select list.

  • Review any additional filters applied to the trigger.

FAQs

How does multi-select improve workflows?

It allows multiple forms or surveys to trigger a single workflow, reducing duplication and simplifying automation management.

Can I apply conditions when selecting multiple surveys?

Yes. Survey triggers support additional conditions such as survey status or disqualification, even when multiple surveys are selected.

Can I mix forms and surveys in one trigger?

No. Forms and surveys use different trigger types, but you can add both trigger types to the same workflow.
