Recurring Tasks

Recurring Tasks let you automatically create repeating tasks on a defined schedule, with full control over frequency, end conditions, and overdue behavior.

Who This Is For / When to Use

Use Recurring Tasks when you need reminders or follow-ups that repeat on a schedule, such as daily check-ins, weekly reviews, or monthly follow-ups.


What Are Recurring Tasks

Recurring Tasks allow you to:

  • Automatically generate tasks on a repeating schedule

  • Control when the recurrence ends (never, on a date, or after a set number of occurrences)

  • Decide whether new tasks should be created even if earlier ones are overdue

  • Edit, delete, or restore tasks within a recurring series


Create a Recurring Task

You can create recurring tasks from Tasks, Contacts, or Companies.

  1. Click + New Task or Assign Task.

  2. In the Add New Task modal, enter the task title and description.

  3. Set the Due date.


Enable Recurrence and Set Frequency

  1. Toggle Recurring tasks ON.

  2. In Repeats every, set the interval:

    • Hour(s)

    • Day(s)

    • Week(s)

    • Month(s)

    • Year(s)

Example: Repeats every 1 Day


Choose When the Recurrence Ends

Under Ends on, select one option:

  • Never – Tasks continue indefinitely

  • Custom date – Tasks stop on a specific date

  • After X occurrences – Tasks stop after a defined number of repeats

Optional:

  • Enable Create a new task even if previous task is overdue to ensure tasks are created on schedule regardless of completion status.


Assign and Save the Task

  1. Select the Assignee.

  2. Optionally associate the task with a Contact or Company.

  3. Click Save.

The system creates the first task immediately and schedules future tasks automatically.


Edit a Recurring Task

When editing a recurring task, you can choose:

  • This task only – Updates only the selected occurrence

  • All future tasks – Updates the entire remaining series

This allows flexibility without breaking past records.


Delete or Restore Recurring Tasks

Delete

  • Delete one occurrence without affecting future tasks, or

  • Delete all upcoming tasks in the series

Restore

  • Deleted recurring tasks can be restored from the task restore view

  • Restored tasks resume their original recurrence rules


Key Rules and Behavior

  • Recurring tasks generate separate task records for each occurrence

  • Overdue behavior depends on the selected overdue option

  • Task completion does not stop recurrence unless an end condition is met


Common Issues and Fixes

Tasks Not Repeating

  • Confirm Recurring tasks is enabled

  • Check the Ends on condition has not been reached

Too Many Tasks Created

  • Review frequency and end settings

  • Avoid using Never unless intentional

Overdue Tasks Blocking New Tasks

  • Enable Create a new task even if previous task is overdue
