Managing the Tasks Tab in Kyrios

The Tasks Tab allows you to create, organize, filter, and track tasks across your account, including recurring tasks and tasks associated with multiple records.

Who This Is For / When to Use

Use the Tasks Tab if you need to:

  • Track follow-ups and internal work

  • Assign tasks to team members

  • Automate recurring work

  • Filter and sort tasks at scale


Accessing the Tasks Tab

  1. Open Contacts from the left navigation.

  2. Select Tasks from the top menu.

  3. The Tasks list opens with default smart views.


Understanding Task Views (Smart Lists)

The Tasks Tab includes predefined views:

  • All – Displays all tasks in the account

  • Due Today – Tasks due today

  • Overdue – Tasks past their due date

  • Upcoming – Tasks due in the future

Each view updates automatically based on task due dates.


Creating a New Task

  1. Click + Add Task in the top-right corner.

  2. Enter the required and optional details:

    • Title (required)

    • Description

    • Due date and time

    • Assignee

    • Associated objects

  3. Click Save.


Task Details and Fields

Each task can include:

  • Title and description

  • Due date and time

  • Assigned user

  • Status (pending or complete)

  • Associated records

Tasks support rich text descriptions and character limits.


Associating Tasks With Records

Tasks can be linked to multiple records at the same time.

Supported associations include:

  • Contacts

  • Opportunities

  • Companies

  • Custom objects

Associations improve visibility and collaboration across teams.


Creating Tasks From a Contact Record

You can add and manage tasks directly from a contact record.

  1. Open a contact.

  2. Go to the Tasks tab on the far right.

  3. Add a new task.


Searching for Tasks

Use the search bar to find tasks by title.

Search updates results instantly and works alongside filters and sorting.


Filtering Tasks

Use filters to narrow down large task lists.

Available filters include:

  • Assignee

  • Status

  • Due date

  • Associated contacts

Filters can be combined for precise results.


Using Advanced Filters

Advanced Filters allow you to filter by additional task fields.

Filter groups include:

  • Task information

  • Associations

  • System timestamps

Use Advanced Filters for reporting or high-volume task management.


Sorting Tasks

Tasks can be sorted using the Sort option.

Sort by:

  • Due date

  • Title

  • Created date

  • Updated date

Sorting works alongside filters and smart views.


Marking Tasks Complete or Pending

Each task includes a status toggle.

  • Check the circle to mark a task as complete

  • Uncheck to return it to pending

Status updates immediately.

Editing or Deleting Tasks

Use the Actions column for individual task management.

Available actions:

  • Edit task

  • Delete task

Changes apply instantly.


Bulk Task Actions

You can manage multiple tasks at once.

  1. Select tasks using the checkboxes.

  2. Choose an action:

    • Mark as done

    • Mark as pending

    • Delete

Bulk actions save time when managing large task lists.


Creating Recurring Tasks

Recurring tasks automate repeated work.

  1. Create a new task.

  2. Enable Recurring tasks.

  3. Configure:

    • Frequency (days, weeks, months)

    • End condition

    • Overdue behavior

  4. Save the task.

Identifying Recurring Tasks

Recurring tasks display a repeat indicator next to the due date.

Hover over the icon to see recurrence details.


Customizing Task Columns

Use Manage Fields to control which columns appear.

You can:

  • Show or hide fields

  • Reorder columns

  • Focus on only relevant data


Common Issues and Fixes

  • Task not appearing: Check active filters and views.

  • Wrong due date: Confirm timezone shown in the column header.

  • Recurring task not generating: Verify recurrence settings and end conditions.

Can I create tasks without linking them to a contact?

Yes. Tasks can be created without associating them to any record.

Can one task be linked to multiple records?

Yes. A single task can be associated with Contacts, Opportunities, Companies, and Custom Objects at the same time.

Can recurring tasks be edited?

Yes. You can edit future occurrences or individual instances from the Tasks Tab.

Are deleted tasks recoverable?

Deleted tasks can be restored if recovery options are enabled for your account.
