Understanding and Managing Contacts in Kyrios

The Contacts module in Kyrios is the central CRM workspace for creating, organizing, communicating with, and automating actions across all leads and customers.

Who This Is For / When to Use

Use this guide if you manage leads, clients, or customers in Kyrios and need to add contacts, organize them with smart lists and custom fields, or take bulk actions like messaging, tagging, or pipeline updates.


What Is the Contacts Module

The Contacts module stores every person in your CRM and connects them to conversations, opportunities, tasks, automations, and activity history. All email, SMS, calls, forms, and workflow activity is logged to each contact record.


Accessing Contacts

  1. In the left navigation, click Contacts.

  2. The Contacts list view opens, showing all contacts and total count.


Adding Contacts

Add a Contact Manually

  1. Go to Contacts.

  2. Click + Add Contact (top right).

  3. Enter contact details.

  4. Click Save.

Import Contacts in Bulk

  1. Go to Contacts.

  2. Click Import.

  3. Upload a CSV file and map fields.

  4. Complete the import.


How Contacts Are Created Automatically

Contacts are automatically created when:

  • A Form, Survey, or Quiz is submitted

  • A Workflow or Automation creates a contact

  • A third-party integration (Zapier, API, etc.) sends data

  • A Facebook Lead Ad form is submitted


Contact List Views and Smart Lists

Default Views

  • All – shows every contact

  • New smart list – saved filtered views

Create a Smart List

  1. In Contacts, click + Add Smart List.

  2. Apply Advanced Filters.

  3. Name the smart list.

  4. Click Create.

Smart lists update automatically as contact data changes.


Filtering, Sorting, and Fields

Advanced Filters

Use filters to segment contacts by:

  • Tags

  • Custom fields

  • Activity

  • Source

  • Pipeline or opportunity data

Sort Contacts

Click Sort to reorder by:

  • Name

  • Created date

  • Last activity

Manage Visible Columns

  1. Click Fields in the list view.

  2. Select which contact fields display as columns.


Bulk Actions on Contacts

Select Contacts

  • Use checkboxes to select individual contacts

  • Click Select All to include the full list

Available Bulk Actions

From the top action bar or More menu:

  • Send SMS

  • Send Email

  • Send WhatsApp

  • Add or remove tags

  • Trigger automation

  • Manage opportunities

  • Export

  • Merge

  • Delete


Sending Messages from Contacts

Send SMS or Email

  1. Select one or more contacts.

  2. Click Send SMS or Send Email.

  3. Compose and send.

Messages are logged automatically to each contact record.


Managing Opportunities from Contacts

  1. Select one or more contacts.

  2. Click More.

  3. Choose Manage Opportunities.

  4. Assign or move contacts to pipelines or stages.


Custom Fields for Contacts

Add Custom Fields

  1. Go to Contacts.

  2. Click Manage Fields or Add Custom Fields.

  3. Create a new field (text, dropdown, date, checkbox, etc.).

  4. Save changes.

Custom fields are available for:

  • Filters

  • Smart lists

  • Automations

  • Reports

  • Message personalization

Each contact record includes:

Left Panel

  • Contact fields (standard + custom)

  • Owner and followers

  • Tags

  • DND status

Center Panel

  • Conversation history (email, SMS, calls)

  • Notes and internal messages

  • Manual outreach

Right Panel (Activity Timeline)

  • Contact created

  • Form submissions

  • Page visits

  • Workflow activity

  • Attribution data


Best Practices

  • Use tags consistently for automation and segmentation.

  • Build smart lists instead of static lists.

  • Add custom fields before importing large datasets.

  • Use bulk actions for efficiency.

  • Keep contact data clean by merging duplicates regularly.


Common Issues and Fixes

Contacts Not Appearing After Import

  • Confirm the CSV email or phone field is mapped correctly.

  • Check for duplicate prevention settings.

Can’t Filter by a Field

  • Ensure the field exists as a custom field, not just in the CSV.

  • Confirm the field type supports filtering.

Messages Not Sending

  • Verify the contact has a valid email or phone number.

  • Check DND and opt-out status.
