How to Delete Options from Dropdown, Multi-Select, Radio, and Checkbox Fields in Custom Objects and Companies

Kyrios allows users to delete field options from Dropdown, Multi-select, Radio, and Checkbox fields within Custom Objects and Companies without erasing existing record data.

Who This Is For / When to Use

This feature is for account administrators and managers modifying custom data structures in Kyrios. Use this feature when removing outdated, incorrect, or unnecessary options from Dropdown, Multi-select, Radio, and Checkbox fields in Custom Objects or Companies without losing historical values on existing records.

What Changed in Field Option Management

Kyrios supports field option deletion for Dropdown, Multi-select, Radio, and Checkbox field types within Custom Objects and Companies. This matches the field management functionality previously limited to Contact and Opportunity fields.

Key capabilities include:

  • Unused Option Deletion: Permanently remove field options that have zero associated records.

  • Historical Data Retention: Remove used options from future selection lists while preserving the option value on pre-existing records.

  • Usage Count Visibility: View the total number of records using a field option prior to deletion.

  • Automation Stability: Maintain uninterrupted execution for existing workflows, Smart Lists, and filters using the deleted option.

How Field Option Deletion Affects Existing Records and Workflows

When a field option is deleted from Settings, Kyrios splits how that change applies to past records versus future system actions.

Behavior on Historical Records

Existing records retaining a deleted option keep that value on their profile. Removing the option from field settings does not erase or overwrite historical account data.

Behavior on New Inputs and System Settings

Once an option is deleted, it is hidden from future selection lists. Users cannot select the deleted option when creating new records, updating existing records, creating new filter rules, or building new workflow conditions.

Behavior on Workflows and Smart Lists

Pre-existing workflows, Smart Lists, and filters containing the deleted option continue to run as originally configured. Active automations processing records with historical values will not fail or pause due to the option deletion.

How to Delete an Option from a Field

  1. Navigate to Settings.

  2. Click Custom Fields.

  3. Select the target Custom Object or Company field.

  4. Locate the field option you want to remove and click Delete.

  5. Review the affected-record count, if applicable.

  6. Confirm the deletion.

Common Issues and Fixes

The record count indicates active records, but zero results appear in Smart Lists

  • Cause: The affected records may be archived, or your current user permissions restrict access to those specific contact or object records.

  • Fix: Adjust your list filters to include archived records or contact an account administrator to review your user access permissions.

A deleted option remains visible on a record profile

  • Cause: The record contained the option value prior to deletion.

  • Fix: Kyrios intentionally retains historical values to protect account data. To remove the value from that specific record, open the record profile and manually update or clear the field.

FAQ

Can I select a deleted option when creating a new record?

No. Once an option is deleted, it is removed from all selection menus and cannot be applied to new or updated records.

Will deleting a used field option break active workflows?

No. Existing workflows, Smart Lists, and filters containing the deleted option continue to run and process historical data without interruption.
