Open WhatsApp Templates
To open the WhatsApp template manager:
Go to Settings.
Select WhatsApp.
Select the Templates tab.
Click Create Template to start a new template.
The Templates tab also shows existing templates and their current approval status.
Enter the Template Details
After selecting Create Template, configure the basic template information. Complete the following fields:
Template Name: Enter the template name using lowercase letters and underscores.
Category: Select the category that matches the purpose of the message.
Language: Select the language used in the template.
Header: Optionally add a text or media header.
If you use a text header, the header can contain static text or a custom variable such as {{1}}.
Add Header Media
If the template header type is Image, Video, or Document, Kyrios provides two ways to select the media.
Upload from Computer: Upload a new file from your device.
Choose from Media Library: Select an existing asset stored in Kyrios Media Storage.
When you choose an asset from Media Storage, Kyrios filters the available files based on the selected header type. For example, selecting an image header displays compatible image assets. Supported header file types include:
PNG
JPG
MP4
PDF
Kyrios Media Storage is the platform's centralized asset library and can be used across multiple Kyrios tools.
Add the Message Body and Footer
The Body contains the main content of the WhatsApp template. To configure the message:
Enter the message in the Body field.
Add variables such as
{{1}}or{{2}}where dynamic information should appear.Add an optional Footer for a short line of text at the bottom of the message.
Meta requires a sample value for every variable included in the template.
Add Variables to the Header or Body
Variables allow Kyrios to insert dynamic information into a WhatsApp template. To add a variable:
Click Add Variable under the Header or Body section.
Select the field you want to use, such as a contact name.
Enter a sample value for Meta review.
Repeat the process for each additional variable.
Every variable included in the template must have a sample value before the template can be submitted successfully.
Add Interactive Buttons
WhatsApp template buttons allow recipients to reply or take an action directly from the message. Available button types can include:
Quick Reply
Visit Website
Personalized Website Link
Call Phone Number
Copy Offer Code
Marketing Opt-Out
You can add multiple buttons to a template. If more than three buttons are used, WhatsApp may display the additional buttons in a list depending on the template configuration.
Submit the Template for Meta Approval
After completing the template:
Review the template name, category, language, content, variables, media, and buttons.
Confirm that every variable includes a sample value.
Click Create.
Kyrios submits the template to Meta for approval. A submitted template cannot be used as an approved WhatsApp template until Meta approves it.
Track the Template Approval Status
To check a template's approval status:
Go to Settings → WhatsApp → Templates.
Find the template in the list.
Review the displayed status.
Common statuses include:
Pending: The template has been submitted and is waiting for Meta review.
Approved: The template is approved and ready to use.
Rejected: Meta did not approve the template. The template must be updated and submitted again.
Edit or Resubmit a WhatsApp Template
Use the template actions menu when an existing template needs changes. To edit or resubmit a template:
Go to Settings → WhatsApp → Templates.
Find the template you want to update.
Click the three-dot menu for that template.
Select Edit template.
Make the required changes.
Submit the updated template again.
If Meta rejected the template, review the template content and required fields before resubmitting it.
Clone a WhatsApp Template
Cloning creates a copy of an existing template so you can create a similar template without rebuilding it from scratch. A cloned template retains the existing template's variables, buttons, and formatting.
Open the Templates List
Go to Settings → WhatsApp → Templates.
Select Clone Template
Find the template you want to duplicate.
Click the three-dot menu.
Select Clone template.
Rename and Save the Cloned Template
The cloned template opens in the template creation screen.
Enter a new template name.
Update the content, variables, media, or buttons as needed.
Click Create or the available save option to submit the new template.
The cloned template is treated as a separate template and may require Meta approval before use.
Common Issues and Fixes
The Create button is inactive
Check the template for missing or invalid required information. Common causes include:
Required template fields are incomplete.
A variable does not have a sample value.
The template contains unsupported content or button configuration.
A required WhatsApp configuration is not available.
Complete all required template fields before attempting to create the template again.
A template was rejected
A rejected template requires changes before it can be submitted again. Go to Settings → WhatsApp → Templates, open the template's three-dot menu, select Edit template, make the required changes, and submit the template again.
Header media cannot be selected
Confirm that the selected file matches the header type. For example:
Image headers require a compatible image file.
Video headers require a compatible video file.
Document headers require a compatible document file.
When selecting media from Kyrios Media Storage, the asset picker filters files based on the selected header type.
A variable cannot be submitted
Every template variable must include a sample value for Meta review. Open the Header or Body variable configuration and enter a sample value for each variable before submitting the template.
