Who This Is For
This feature is for users who manage service appointments and need to change booking details after an appointment has been created or paid.
Use this feature when you need to:
Add or remove a service.
Add, update, or remove an add-on.
Change the assigned staff member.
Apply, update, or remove a coupon.
Update other appointment details.
Process a refund caused by a booking change.
What Can Be Edited
Both paid and unpaid service bookings can be edited without canceling and recreating the appointment.
You can change:
Services.
Add-ons.
Assigned staff members.
Coupons.
Other available booking details.
Kyrios updates the existing booking and its associated order instead of creating a new order.
How to Edit a Service Booking
Open Calendars.
Open the existing service appointment.
Click the Edit icon in the Booking details panel.
Add, remove, or update the required booking information.
Save the changes.
Review the updated payment status.
The payment status will show whether the edited booking is fully paid, requires an additional payment, or has a refund due.
How Payment Reconciliation Works
Kyrios automatically recalculates the booking total after an edit.
The booking can display one of the following payment results:
Additional payment required: The updated booking costs more than the amount already paid.
Fully paid: The amount already paid matches the updated booking total.
Refund due: The customer paid more than the updated booking total.
The Booking details panel also shows the customer’s original payment, previous refunds, total paid after refunds, and any remaining refund due.
How to Process a Refund
When the edited booking shows a refund due:
Open the appointment.
Select the Payment section in the Booking details panel.
Review the amount shown under Refund due.
Click Process refund.
Enter an amount up to the displayed maximum refundable amount.
Click Process refund to confirm.
Kyrios may process the refund across multiple transactions. Each refunded amount is returned to the original payment method used for that transaction.
What Happens While a Refund Is Processing
Booking edits are temporarily disabled while an initiated refund is still processing.
This restriction prevents conflicts between booking changes and payment reconciliation.
You can still reschedule the appointment while the refund is processing.
After the refund completes, editing becomes available again.
How Orders Are Updated
Each service booking remains connected to its existing order.
When you edit a booking:
Kyrios updates the existing order.
Kyrios does not create a replacement order.
Services, payment details, and appointment information remain synchronized.
The order history remains connected to the original booking lifecycle.
Mobile App Availability
Mobile app support for editing service bookings is scheduled to roll out during the week of July 20, 2026.
Availability may vary during the rollout period.
Common Issues and Fixes
The booking cannot be edited
A refund may still be processing. Wait for the refund to complete, then reopen the appointment and try again.
You can reschedule the appointment while the refund is processing.
The Process refund button does not appear
The button appears only when the updated booking has a refund due.
Confirm that the customer paid more than the recalculated booking total.
The refund amount cannot be increased
The refund cannot exceed the maximum refundable amount displayed in the refund window. Enter an amount equal to or lower than the displayed maximum.
The booking total changed after saving
Kyrios recalculates the booking total whenever services, add-ons, staff assignments, coupons, or other price-related details are changed.
Review the updated payment status to determine whether another payment or refund is required.
