Calendar Services Notifications

Services Notifications let accounts configure built-in email and in-app notifications for service booking events without requiring standard workflows.

Where to Find Services Notifications

To access Services Notifications:

  1. Go to Settings.

  2. Select Calendars.

  3. Open Services.

  4. Select Global Settings.

  5. Select Notifications.

Notification Triggers

You can configure notifications for these service booking events:

Appointment Booked (Unconfirmed)
Sent when a customer books a service with an unconfirmed status.

Appointment Booked (Confirmed)
Sent when a service booking is auto-confirmed or manually approved.

Cancellation
Sent when a service booking is canceled.

Reschedule
Sent when a service booking is moved to a new date or time.

Reminder
Sent before the appointment to help reduce no-shows.

Follow-Up
Sent after the appointment to engage customers or collect feedback.


Recipient Options

Each Services notification can be sent to one or more recipients.

Available recipients include:

  1. The Contact - The customer who booked the service.

  2. The Assigned User - The staff member assigned to the service.

  3. Additional Email Addresses - Internal recipients, such as front-desk staff, managers, or team members.


Template Customization

Services Notifications include a built-in editor. You can use the editor to:

  1. Customize subject lines.

  2. Edit message content.

  3. Adjust formatting and layout.

  4. Use pre-created templates.

Pre-created templates help accounts set up notifications faster and keep booking messages consistent.


Service-Specific Custom Values

Services Notifications support custom values for service booking details. Supported service-related values can include:

  1. Service name.

  2. Duration.

  3. Price.

  4. Add-ons.

  5. Assigned staff details.

  6. Additional service attributes.

These values help each notification reflect the specific service that was booked.


Smart Consolidation of Notifications

When a booking includes multiple services, Kyrios sends one notification for the overall booking. Kyrios does not send a separate notification for each individual service in the same booking. This prevents customers and team members from receiving duplicate or redundant booking messages.


How to Configure Services Notifications

To configure Services Notifications:

  1. Go to Settings β†’ Calendars β†’ Services β†’ Global Settings β†’ Notifications.

  2. Select the notification trigger you want to configure.

  3. Customize the notification template.

  4. Choose the recipients.

  5. Insert service-specific custom values as needed.

  6. Save your changes.


How Services Notifications Work After Setup

After Services Notifications are configured:

  1. Notifications trigger automatically based on service booking events.

  2. Templates are reused consistently across bookings.

  3. Multi-service bookings are consolidated into one booking notification.

  4. Standard service booking communications do not require workflows.


What Did Not Change

Services Notifications do not:

  1. Replace workflow-based notifications.

  2. Affect non-service calendar appointments.

  3. Change appointment availability.

  4. Change booking rules.

  5. Apply outside Services Private Beta.


Common Issues and Fixes

I do not see Services Notifications.

Services Notifications are currently in Private Beta. If the feature is not visible, the account may not have access yet.

A customer received only one notification for multiple services.

This is expected. Multi-service bookings are consolidated into one booking notification.

A non-service appointment did not use these notifications.

This is expected. Services Notifications only apply to bookings made through Services.

Is this available for all calendar appointments?

No. Services Notifications apply only to bookings made using Services.

Can I send both email and in-app notifications?

Yes. Services support both email and in-app notification channels.

Are notifications sent per service or per booking?

Notifications are sent per booking. Multi-service bookings send one consolidated notification.

Do I still need workflows for service notifications?

No. Services Notifications provide a built-in option for common service booking communications. Workflows remain available for advanced or custom automation.

Is this feature available to all accounts?

No. Services Notifications are currently in Private Beta.
