Microsoft SNDS Integration (IP Status Monitoring)

The Microsoft SNDS integration lets you monitor IP reputation, spam filtering, complaint rates, and trap hits to protect and improve email deliverability when sending to Microsoft inboxes.

Updated over 2 months ago

Who This Is For / When to Use

  • Email senders who want visibility into Microsoft Outlook/Hotmail deliverability.

  • Accounts troubleshooting spam placement, blocks, or reputation issues.

  • Teams exporting IP data for compliance or deliverability analysis.

What Microsoft SNDS Tracks

Microsoft SNDS (Smart Network Data Services) provides visibility into how Microsoft evaluates your sending IPs.

This integration surfaces:

  • IP reputation signals

  • Spam filtering results

  • Complaint rates

  • Spam trap activity

  • Message volume metrics

Accessing the Microsoft SNDS Dashboard

  1. Go to Settings > Email Services > Postmaster Tools.

  2. Select Microsoft SNDS from the left menu.

IP Availability and Shared IP Notice

If your account uses shared IPs, you may see an “IP not found in your account” message.

This means:

  • Microsoft does not expose per-IP SNDS data for shared IPs.

  • Detailed IP-level metrics are only available for dedicated IP accounts.

  • CSV exports and feedback loop controls may be limited.

Viewing IP Activity Data

Time Range Selection

Use the date range selector to change the reporting window (for example, last 7 days).

Key Dashboard Fields

Each row represents IP activity for a reporting period.

  • Activity Period – Time window Microsoft evaluated.

  • RCPT Commands – Total recipients accepted by Microsoft servers.

  • DATA Commands – Total message payloads processed.

  • Message Recipient – Delivered recipient count.

  • Filter Result – Spam filtering status.

  • Complaint Rate – User-reported spam complaints.

  • Trap Message Period – Days spam traps were triggered.

Understanding Filter Results and Status Indicators

Filter Results

  • Spam < 10% – Healthy sending reputation.

  • 10% < Spam < 90% – Elevated spam filtering risk.

  • Red Days – Days where spam thresholds were exceeded.

Blocked Status

  • No – IP is not blocked.

  • Yes – IP is actively restricted by Microsoft.

Trap Hits

  • Indicates spam trap detections.

  • Any value above 0 requires immediate list hygiene review.

Complaint Rate Guidelines

  • Target complaint rate: < 0.1%

  • Higher values signal recipient dissatisfaction and risk future filtering.

Downloading SNDS CSV Reports

You can export SNDS data for offline analysis.

  1. Select your desired date range.

  2. Click Download CSV.

Use CSV exports to:

  • Track historical trends

  • Share deliverability reports

  • Audit campaign volume and behavior

Handling IP Reputation Issues

Recommended Actions

  • Review spam percentage and red days.

  • Remove inactive or invalid contacts.

  • Reduce sudden volume spikes.

  • Improve email content relevance.

  • Warm up new sending IPs gradually.

If an IP Is Blocked

  • Confirm block status in the dashboard.

  • Address list quality and complaint sources.

  • Submit a delisting request through Microsoft Outlook Support.

FAQ

What is Microsoft SNDS?

Microsoft SNDS is a reporting service that shows how Microsoft evaluates your sending IPs, including spam filtering, complaints, and trap activity.

How do I know if my IP is blocked?

Check the Blocked field in the IP status dashboard. A value of Yes means Microsoft is actively restricting the IP.

Why do I see “No data available” for some days?

Microsoft only reports data when an IP sends a meaningful volume (typically 100+ emails) to Microsoft recipients in a day. Lower volumes are hidden for privacy reasons.

What causes high spam rates?

Common causes include poor list hygiene, purchased lists, irrelevant content, and sudden increases in sending volume.

What should I do if there are spam trap hits?

Immediately clean your mailing list, remove inactive contacts, and review opt-in practices to prevent further reputation damage.

Can I track historical performance?

Yes. Use the dashboard for recent trends and Download CSV for long-term historical analysis.
