Square Integration for Processing Payments

The Square integration allows you to connect your Square account to Kyrios to process one-time payments and subscriptions across products, calendars, invoices, order forms, and payment links.

This article is for Kyrios users who want to:

  • Accept payments using Square

  • Track transactions inside Kyrios

  • Use Square for products, invoices, order forms, or calendars

  • Link a physical Square location to a Kyrios account for reporting

What the Square Integration Supports

The Square integration supports:

  • One-time payments

  • Subscription-based payments

  • Products and payment links

  • Invoices and order forms

  • Calendar bookings (non-Classic)

  • Physical location-based sales tracking

Square transactions sync into Kyrios for visibility and automation.

Step 1: Connect Your Square Account

To connect Square to Kyrios:

  1. Go to Payments → Integrations

  2. Select Square

  3. Click Connect

  4. Follow the prompts to authorize Square and grant required permissions

Once connected, your Square account is linked to Kyrios and available as a payment provider.

Step 2: Select a Square Location for Your Kyrios Account

Each Kyrios account must be linked to a single Square physical location.

How Location Linking Works

  • Square physical locations are fetched automatically after connection

  • One location can be linked per Kyrios account

  • A default location is selected initially

  • The location can be changed later by reconnecting Square

Steps to Select a Location

  1. Go to Payments → Integrations → Square

  2. Connect (new users) or reconnect (existing users) your Square account

  3. Review the available Square physical locations

  4. Select the location to associate with your Kyrios account

  5. Save your changes

Requirements & Limitations

  • Only physical Square locations are supported

  • Proper Square permissions must be granted during setup

  • Each Kyrios account can be linked to only one Square location at a time

Step 3: Configure Products for Square Payments

Products determine what customers can purchase using Square.

How to Configure Products

  1. Go to Payments → Products

  2. Create or edit a product

  3. Choose whether the product is:

    • One-time payment

    • Subscription

  4. Set Square as the payment method

  5. Save the product

Once saved, the product is ready to be used anywhere payments are accepted.

Step 4: Use Square Across Kyrios Features

After products are configured, Square can be used in:

  • Order Forms

  • Invoices

  • Online Stores

  • Forms

  • Memberships

  • Payment Links

For each feature, ensure the product or payment method is set to Square.

Always test payments before publishing live assets.

Step 5: Monitor and Automate Transactions

Viewing Transactions

To track Square payments:

  1. Go to Payments → Orders and Transactions

  2. View real-time payment activity

  3. Review order status and payment details

Using Automation Triggers

Square payments can trigger automations such as:

  • Sending receipts or confirmations

  • Granting membership access

  • Updating CRM fields

  • Moving opportunities in pipelines

Triggers are available inside Workflows based on payment events.

Square Payments in Calendars

Square can be used to collect payments for calendar bookings.

How to Enable Square for

  1. Ensure Square is connected under Payments → Integrations

  2. Set Square as your default payment provider (if required)

  3. Enable payment collection in Calendar Settings

Calendar Limitations

  • Square works with all calendar types

  • Square is not supported for:

    • Classic Widget

    • Service Menu

Common Issues and Fixes

Payments Are Failing

  • Confirm Square permissions were fully approved

  • Ensure a Square location is selected

  • Verify the product is assigned to Square

Location Is Incorrect

  • Reconnect Square in Payments → Integrations

  • Select a different physical location

Calendar Payments Not Appearing

  • Confirm the calendar type supports Square

Can I use Square for both one-time and subscription payments?

Yes. Square supports both one-time payments and recurring subscriptions when products are configured correctly under Payments → Products.

How do I track payments made through Square?

All Square payments appear in Payments → Orders and Transactions, where they can also trigger workflows and automation.

What happens if I don’t select a Square location?

A default physical location is automatically assigned, but it can be changed later by reconnecting Square.

Can one Kyrios account have multiple Square locations?

No. Each Kyrios account can be linked to only one Square physical location at a time.

Can I change my Square location later?

Yes. Reconnect Square from Payments → Integrations and select a different physical location.

What happens if I disconnect my Square account?

All active order forms or payment links using Square will stop working immediately.
Your historical transaction data remains available in both Square and Kyrios.

Can I use Square and Stripe at the same time?

Yes. You can assign different payment providers to different products, order forms, or payment links.
Only one default provider can be used for features like calendars.
