Post Approval in the Social Planner

The Social Planner approval workflow lets teams submit social posts for review, add internal notes, reschedule posts during approval, and approve or reject content before it publishes.

How the Post Approval Workflow Works

The Social Planner approval flow allows a post creator to submit a post for review before publishing. Approvers can review, edit, reschedule, approve, or reject the post without sending it back to the creator.

Step 1: Open the Social Planner

  1. Navigate to Marketing from the left sidebar.

  2. Click Social Planner.

Step 2: Create a New Post

  1. Click + New Post in the top-right corner.

  2. Select Create New Post from the dropdown.

Add your post content:

  • Caption text

  • Media (image, video, or GIF)

  • Hashtags or links

  • Platform-specific options (Feed, Reel, Story, etc.)

Step 3: Send the Post for Approval

  1. From the post action menu, click Send Post for Approval.

  2. Select:

    • Scheduled date and time

    • Approver (required)

    • Optional internal note for context

  3. Click Schedule & Send for Approval.

What happens next

  • The approver receives an email notification.

  • The post is placed into Pending Approval status.

Step 4: Review and Approve Posts

  1. Go to the Content tab inside the Social Planner.

  2. Click Approval in the left-side menu.

Open the post’s action menu to:

  • View

  • Edit

  • Approve

  • Reject

  • Run as Ad (if applicable)

Step 5: Edit Content During Approval (Optional)

Approvers can edit post content without rejecting it.

  • Click ViewEdit inside the approval screen.

  • Changes are saved as part of the approval process.

This allows minor copy or formatting adjustments without restarting the workflow.

Step 6: Add or Edit Captions for Review Posts

When approving review-based posts, captions can be customized.

  1. Open the Post Reviews flow.

  2. Enter text in the Caption field.

Important

  • If no caption is added, the system uses the review text as the caption by default.

  • Caption character limits follow the selected social platform.

Step 7: Reschedule Posts During Approval

Approvers can reschedule posts directly in the approval flow.

  1. Open a post with Pending status.

  2. Change the date or time in the scheduler.

  3. Approve the post.

Result

  • The post publishes at the updated time.

  • No resubmission or creator action is required.

Step 8: Save Changes and Finalize

When edits or scheduling changes are made, save the updates before approving.

Common Issues and Fixes

Post cannot be approved

  • Ensure an approver was selected when sending for approval.

  • Verify the approver has approval permissions.

Post does not publish after approval

  • Confirm the scheduled date and time are in the future.

  • Check the connected social account status.

Caption is missing

  • If no caption was added, the review text is used automatically.

  • Edit the post to add a custom caption if needed.

What happens if I don’t add a caption?

If no caption is added, the system automatically uses the review content as the caption.

Can I edit a caption after the post is published?

Yes. Open the post in the Social Planner, edit the caption, and save the changes.

Can approvers reschedule posts?

Yes. Approvers can change the date and time during the approval process without sending the post back.

Who can approve or reject posts?

Only users with approval permissions can approve, reject, or reschedule posts.

What happens if a post is rejected?

The post moves to Rejected status. The creator can review internal notes, edit the post, and resend it for approval.

Are captions supported on automated review posts?

Yes. Automated review posts support custom captions without affecting automation or scheduling.

Does adding captions affect automation or recurring schedules?

No. Captions do not interfere with automation, recurring posts, or scheduled publishing.
