The Video Tracking workflow trigger adds a contact to a workflow when they watch a specified percentage of a hosted video.

This trigger is for users who host videos in Kyrios and want to automate actions based on viewer engagement.

Use this trigger when you want to:

  • Follow up with contacts who watched part or all of a video

  • Score leads based on video engagement

  • Re-engage contacts who stopped watching early

  • Trigger different actions at different watch percentages

What the Video Tracking Trigger Does

The Video Tracking trigger runs when a contact watches a defined percentage of a hosted video.

When the trigger conditions are met:

  • The contact is added to the workflow

  • Workflow actions run immediately

  • The trigger evaluates engagement when the video is closed or completed

This trigger only tracks actual playback time. Skipping or scrubbing does not count toward watch percentage.

Requirements Before Using This Trigger

The following conditions must be met:

  • The viewer must already exist as a contact

  • At least one video must be uploaded to the account

  • The video must be played using the hosted video element

  • The workflow must be published to run

If these conditions are not met, the trigger will not fire.

Step 1: Create or Open a Workflow

  1. Go to Automations & Workflows > Workflows

  2. Open an existing workflow or click Create Workflow

  3. From the workflow list, use the actions menu to edit the workflow

This opens the workflow builder where triggers and actions are configured.

Step 2: Add the Video Tracking Trigger

  1. Click Add New Trigger

  2. Open the Events section

  3. Select Video Tracking or use the search bar

Once selected, the Trigger Setup panel opens automatically.

Step 3: Configure Trigger Settings

Each setting below works independently and can be quoted on its own.

Workflow Trigger Name (Optional)

  • This field changes only the display name inside the workflow builder

  • It does not affect trigger logic or execution

Use this to clearly label triggers when multiple triggers exist in one workflow.

Video Duration (%) Filter

This filter defines how much of the video must be watched to trigger the workflow.

  • The value is measured as a percentage of actual playback

  • The trigger evaluates when the viewer closes or completes the video

Recommended logic:

  • Use Greater than or Equal to for minimum watch thresholds

  • Example: Video Duration (%) β‰₯ 20

If no Video Duration (%) filter is set:

  • The trigger fires when the video is closed or completed

  • The watched percentage does not matter

Funnel Filter (Optional)

Controls which funnels can activate the trigger.

  • Is any of
    Only selected funnels can trigger the workflow

  • Is none of
    Selected funnels are excluded from triggering the workflow

All unselected funnels behave according to the chosen operator.

Video Filter (Optional)

Controls which videos can activate the trigger.

  • Is any of
    Only selected videos can trigger the workflow

  • Is none of
    Selected videos are excluded from triggering the workflow

This is useful when multiple videos exist in the account.

Custom Field Filters (Optional)

You can restrict entry to contacts that meet specific criteria.

  • Filters are based on existing Custom Fields

  • Only contacts matching the selected values enter the workflow

  • Custom Fields must already exist in the account

Save the Trigger

Click Save Trigger to apply the trigger settings

The trigger is now active inside the workflow.

Step 4: Add Workflow Actions

After the trigger fires, you can add any workflow actions, including:

  • Sending emails or SMS messages

  • Tagging contacts

  • Updating contact fields

  • Assigning users or tasks

  • Triggering additional workflows

Actions run in sequence every time the trigger conditions are met.

Step 5: Save, Test, and Publish the Workflow

  1. Click Save in the top-right corner

  2. Toggle Publish to enable the workflow

  3. Click Test Workflow to confirm expected behavior

Testing ensures the trigger and actions run correctly before going live.

How Re-Entry Works

  • The workflow evaluates video engagement each time the video is closed

  • If Allow Re-entry is enabled:

    • A contact can re-enter the workflow multiple times

    • This occurs if they revisit the page and meet all trigger filters again

Disable re-entry if you want the workflow to run only once per contact.

Common Issues and Fixes

The trigger does not fire

  • Confirm the viewer already exists as a contact

  • Verify the video is hosted in the account

  • Ensure a Video Duration (%) filter is set if required

The trigger fires unexpectedly

  • Check if no Video Duration (%) filter is applied

  • Remember the trigger fires when the video is closed or completed

Contacts re-enter the workflow multiple times

  • Disable Allow Re-entry if repeat enrollment is not desired
