What the Birthday Reminder Trigger Does

The Birthday Reminder trigger adds a contact to a workflow based on the birthday date stored in their contact profile.

By default, the trigger runs on the contact’s birthday, but timing and eligibility can be customized using filters.

How to Add the Birthday Reminder Trigger

Step 1: Create or Edit a Workflow

  1. Navigate to Automations in the left sidebar.

  2. Click Workflows.

  3. Select Create Workflow, or open an existing workflow and choose Edit Workflow.

Step 2: Add a New Trigger

Inside the workflow builder, click Add New Trigger.

  1. In the trigger list, open the Contact section.

  2. Select Birthday Reminder, or use the search bar to locate it.

Step 3: Configure the Birthday Reminder Trigger

Workflow Trigger Name (Optional)

You may rename the trigger for clarity inside the workflow builder.

  • This name is display-only

  • Renaming does not affect trigger behavior

Step 4: Configure Trigger Filters

Filters control when and which contacts are added to the workflow.

Timing Filters

  • Before no. of days
    Triggers the workflow a set number of days before the contact’s birthday.

  • After no. of days
    Triggers the workflow a set number of days after the contact’s birthday.

If neither is set, the workflow triggers on the birthday itself.

Date Filters

  • Month is
    Limits the trigger to birthdays in a specific month.

  • Day is
    Limits the trigger to a specific calendar day.

These filters are optional and can be combined.

Custom Field Filters

You can restrict which contacts qualify using Custom Field conditions, such as:

  • Contact type

  • Subscription status

  • Internal flags or segmentation fields

Step 5: Save the Trigger

Click Save Trigger in the bottom-right corner of the trigger setup panel.

Add Workflow Actions

After saving the trigger, add one or more workflow actions, such as:

  • Send email or SMS

  • Apply or remove tags

  • Add internal notes

  • Notify users

  • Update contact fields

Important:
To ensure birthday messages send every year, enable Allow re-entry in the workflow settings.

Save and Publish the Workflow

  1. Click Save in the top-right corner of the workflow builder.

  2. Toggle the workflow from Draft to Publish.

  3. Use Test Workflow to confirm expected behavior before enabling.

Common Issues and Fixes

Workflow Does Not Trigger

  • Confirm the contact has a birthday date saved

  • Ensure Allow re-entry is enabled for annual workflows

  • Check timing filters are not excluding the contact

  • Verify month or day filters match the contact’s birthday

Workflow Only Triggers Once

  • Enable Allow re-entry in workflow settings

  • Confirm the workflow is published, not left in Draft
