How the Task Reminder Trigger Works

The Task Reminder trigger activates based on the due date of a task.

You control when the workflow runs by applying time-based filters:

  • Before a task is due

  • After a task is due

Example:

  • Send a reminder 1 day before a task is due

  • Send a follow-up reminder 7 days after a task is overdue

Step 1: Start a New Workflow or Edit an Existing One

  1. Go to Automation > Workflows.

  2. Click + Create Workflow or open an existing workflow.

Step 2: Add the Task Reminder Trigger

  1. In the workflow builder, click Add New Trigger.

  2. Search for Task Reminder.

  3. Select Task Reminder under the Contact trigger category.

Step 3: Configure the Trigger Settings

Workflow Trigger Name (Optional)

  • Edit the Workflow Trigger Name field to rename the trigger for internal clarity.

  • Changing this name does not affect trigger behavior.

Step 4: Add Task Reminder Filters

Click + Add filters to control when reminders are sent.

Available Filters (Standard Fields)

Before no. of days

  • Triggers the workflow a set number of days before the task due date.

  • Example: Before no. of days = 1 sends a reminder 7 day before the task is due.

After no. of days

  • Triggers the workflow a set number of days after the task due date.

  • Example: After no. of days = 7 sends a reminder 7 days after the task is overdue.

Step 5: Save the Trigger

Click Save Trigger.

Step 6: Add Workflow Actions

After the trigger is saved, add the actions you want to run, such as:

  • Send internal notifications

  • Send emails

  • Create tasks

  • Update contact fields

Step 7: Publish and Test the Workflow

  1. Click Save in the top-right corner.

  2. Toggle the workflow from Draft to Publish.

  3. Use Test Workflow to confirm reminders fire correctly.

Common Issues and Fixes

Workflow Does Not Trigger

  • Confirm the task has a due date.

  • Verify the Before no. of days or After no. of days filter is set correctly.

  • Ensure the workflow is Published, not in Draft mode.

Too Many Notifications

  • Avoid creating multiple workflows with overlapping reminder windows.

  • Use only one reminder per timing window when possible.
