Workflow Action: Send Internal Notification

Who This Is For / When to Use

Use this action if you need to:

  • Notify internal users about important events

  • Alert teams about new leads, appointments, or form submissions

  • Keep stakeholders informed without messaging the contact directly

Internal notifications can run even when no contact is enrolled in the workflow.

What the Send Internal Notification Action Does

This action:

  • Sends messages to internal users only

  • Supports Email, SMS, WhatsApp, and in-app Notifications

  • Allows multiple recipients in a single action

  • Supports dynamic values using custom fields

Step 1: Create or Open a Workflow

  1. Go to Automations > Workflows.

  2. Click Create Workflow.

  3. Choose Start from Scratch, a template, or another workflow source.

Step 2: Add a Workflow Trigger

  1. Click Add New Trigger.

  2. Select a trigger such as Form Submitted, Contact Created, or Appointment Status Changed.

  3. Configure trigger filters if required.

Step 3: Add the Send Internal Notification Action

  1. Click the + icon below the trigger.

  2. Open the Actions tab.

  3. Select Send Internal Notification.

Step 4: Choose the Notification Type

Available notification types:

  • Email

  • SMS

  • WhatsApp

  • Notification (in-app)

Each type has different configuration options explained below.

Configure Email Notifications

Use Email notifications for detailed internal alerts.

Required Settings

  • Subject: Email subject line

  • Message Body: Email content (supports custom values)

  • To User Type: Assigned User, Particular User, All Users, or Custom Email

Optional Settings

  • From Name / From Email

  • CC / BCC: Add additional internal recipients

Configure SMS Notifications

Use SMS notifications for time-sensitive alerts.

Settings

  • Message: SMS content (supports custom values)

  • To User Type: Select one or multiple users

  • Test Phone Number: Optional test before saving

Multiple users can be selected without creating separate actions.

Configure WhatsApp Notifications

Use WhatsApp notifications when WhatsApp messaging is enabled.

Settings

  • User Type: Assigned User or Particular User

  • Template: Select a pre-approved WhatsApp template

Configure In-App Notifications

Use in-app notifications for alerts inside Kyrios.

Required Settings

  • Title: Notification title (supports custom values)

  • Message: Notification content

  • Redirect Page: Contact, Conversation, or Opportunity

  • To User Type: Select recipients

Step 5: Save, Test, and Publish

  1. Click Save Action.

  2. Click Save in the workflow header.

  3. Use Test Workflow to verify behavior.

  4. Toggle the workflow to Publish when ready.

Example Use Case

Scenario: Notify the sales team when a new lead is created.

  • Trigger: Contact Created

  • Action: Send Internal Notification (Email)

  • Subject: New Lead Added

  • Message: A new lead has been created. Please review the contact details.

  • Recipients: Assigned User and Sales Manager

Common Issues and Fixes

Notification Not Sent

  • Confirm workflow is published

  • Verify user selection and contact permissions

  • Check SMS or WhatsApp credit availability

Wrong Recipient Received Notification

  • Review To User Type selection

  • Confirm Assigned User is set correctly
