How to Get Notified When a Lead Opens an Email

This article is for Kyrios users who want real-time visibility when leads engage with emails.

Use this setup when timely follow-up is required, such as sales outreach, deal monitoring, or high-priority campaigns.

How Email Open Notifications Work

Email open notifications use the Email Events workflow trigger.

When a contact opens an email sent from Kyrios, the workflow triggers and sends an internal notification through the selected channel (email, in-app notification, SMS, or WhatsApp).

Only emails sent from Kyrios are eligible for Email Events tracking.

Step 1: Create a New Workflow

A workflow must be created before adding the Email Events trigger.

Steps

  1. Go to Automation β†’ Workflows.

  2. Click + Create Workflow.

  3. Select Start from Scratch.

  4. Enter a clear workflow name.

Step 2: Add the Email Events Trigger

The Email Events trigger starts the workflow when an email interaction occurs.

Steps

  1. Click Add New Trigger.

  2. Select Email Events.

  3. Set Event to Opened.

  4. (Optional) Add a filter to limit events to a specific workflow or email sequence.

  5. Click Save Trigger.

Step 3: Add an Internal Notification Action

The Internal Notification action sends the alert when the email is opened.

Steps

  1. Click the + icon below the trigger.

  2. Select Internal Notification.

  3. Choose the Type of Notification (Email, Notification, SMS, or WhatsApp).

  4. Customize the message using custom values such as contact name or email.

  5. Click Save Action.

Step 4: Publish and Test the Workflow

The workflow must be published to activate notifications.

Steps

  1. Toggle the workflow from Draft to Publish.

  2. Send the target email to a test email address you own.

  3. Open the email.

  4. Confirm the internal notification is received.

Step 5: Monitor Workflow Execution

Execution Logs confirm whether notifications are firing correctly.

Steps

  1. Open the workflow.

  2. Click the Execution Logs tab.

  3. Review email open events and notification status.

Use execution details to troubleshoot skipped or failed actions.

Best Practices for Email Open Notifications

  • Test using a real inbox you control

  • Avoid aggressive notification frequency

  • Filter by workflow to reduce noise

  • Include identifying details in notification messages

  • Combine with Stop on Response for sales workflows

Common Issues and Fixes

Notification Not Received

Cause: Workflow not published or trigger not firing.

Fix: Confirm workflow is published and Email Events trigger is set to Opened.

Notification Triggers for All Emails

Cause: No workflow filter applied.

Fix: Add a workflow or campaign filter in the Email Events trigger.

Email Opens Not Detected

Cause: Email tracking disabled or images blocked by recipient.

Fix: Confirm email tracking is enabled and test with a different inbox.
