My Profile Settings

The My Profile page lets you manage your personal details, security settings, calendar integrations, availability, notifications, and email syncing preferences.

Who This Is For / When to Use

Use My Profile when you need to update your personal information, secure your login, configure calendars and availability, manage notifications, or connect your email and meeting tools.


How to Access My Profile

  1. Go to Settings from the left-hand menu.

  2. Select My Profile.

This page is your personal configuration hub and does not affect other users.


General Tab

Personal Data

You can edit the following fields:

  • First name and last name

  • Email address

  • Phone number and extension

  • Default calendar

  • Platform language

  • Email signature


Email Signature

  1. Scroll to the Signature section.

  2. Enable Email signature on all outgoing messages if desired.

  3. Paste or format your signature in the editor.

  4. Click Update Profile to save.

Important notes:

  • You can insert the signature manually in emails using {{user.email_signature}}.

  • The signature only works with the custom value if you are assigned to the contact.

  • Formatting may need adjustment when pasting from another email provider.


Change Password

  1. Enter your current password.

  2. Enter and confirm your new password.

  3. Click Update Password.


Two-Factor Authentication (2FA)

Two-Factor Authentication adds an extra security layer using an authenticator app.

  1. Locate Two-factor Authentication (2FA) App.

  2. Click Setup Two-factor Authentication (2FA) App.

  3. Follow the on-screen steps to complete setup.

2FA is enforced for all users once enabled.


Sign Out Everywhere

  • Click Sign Out Everywhere to log out of all active sessions across all devices.

  • Use this if you believe your account may be logged in elsewhere.


User Availability

Use this section to control when and how meetings can be scheduled.

You can configure:

  • Time zone

  • Available days

  • Available hours

  • Meeting location


Calendar Configuration

Primary Calendar and Conflict Checking

  • Select your Primary Calendar where new events are created.

  • Add a Check for Conflicts calendar to prevent double bookings.


Private Mode for Synced Events

Private Mode hides details of synced third-party calendar events from other users.

When enabled:

  • Only you can see event details.

  • Other users only see blocked time.

How to enable or disable:

  1. Go to Settings > My Profile.

  2. Scroll to Calendar Configuration.

  3. Toggle Private Mode for Synced Events.

  4. Click Save.


Calendar Settings > Connections

You can also manage privacy from the calendar connections page.

  1. Go to Calendar Settings > Connections.

  2. Scroll to Private Mode for Synced Events.

  3. Toggle the setting and save.


Integrations

Calendar and Video Conferencing

You can connect third-party services to sync availability and generate meeting links.

Supported integrations include:

  • Google Calendar

  • Outlook Calendar

  • iCloud Calendar

  • Calendly

  • Google Meet

  • Zoom

  • Microsoft Teams


Email (2-Way Sync)

Email 2-Way Sync connects your personal inbox with Kyrios Systems.

  1. Go to Email (2-Way Sync).

  2. Choose Gmail or Outlook.

  3. Click Connect and authorize access.

This syncs both incoming and outgoing emails.


Notifications Tab

Notification preferences control how and where you receive alerts.

You can:

  • Set different preferences for web and mobile

  • Enable or disable conversation and task notifications

  • Receive calendar and video integration disconnection alerts

  • Distinguish system notifications from custom notifications

How to Access Notification Settings

  1. Go to Settings.

  2. Select My Profile.

  3. Click the Notifications tab.


Common Issues and Fixes

My email signature is not showing

  • Ensure you are assigned to the contact.

  • Enable signature usage or use {{user.email_signature}}.

  • Click Update Profile after changes.

Calendar events show details to others

  • Enable Private Mode for Synced Events and save.

Not receiving notifications

  • Check the Notifications tab.

  • Verify web vs mobile preferences are enabled correctly.
