How to Create and Edit Pipelines

in Kyrios organize opportunities into clear stages so teams can track progress, automate actions, and control visibility throughout the sales or customer lifecycle.

Who this is for / When to use

This article is for account admins and users who manage sales, projects, or customer journeys and need to create, edit, reorder, or restrict access to pipelines in Kyrios.


What a pipeline is in Kyrios

A pipeline is a structured set of stages that represents how opportunities move through a process, such as lead management, sales, onboarding, or project delivery. Each opportunity exists in one stage at a time, and stage changes can trigger reports, automations, and permissions.


How to create a pipeline

Creating a pipeline allows you to define custom stages that match your business workflow.

Step 1: Navigate to Pipelines

Go to Opportunities from the left navigation, then select the Pipelines tab at the top of the page.

Step 2: Start a new pipeline

Click Create Pipeline in the top-right corner of the Pipelines page.

Step 3: Name the pipeline

Enter a unique, descriptive pipeline name. Pipeline names must be unique across the account.

Step 4: Add and configure stages

Add stages by clicking Add Stage, then enter a name for each stage.

Each stage includes options to:

  • Include the stage in the Funnel Chart

  • Include the stage in Stage Distribution reporting

Stages can be removed using the trash icon.

Step 5: Reorder stages

Drag stages up or down using the handle on the left to match your desired workflow order.

Step 6: Create the pipeline

Click Create to save the pipeline.


How to edit a pipeline

Editing a pipeline allows you to update its name, stages, order, reporting visibility, or permissions.

Step 1: Open the pipeline editor

From the Pipelines list, click the Edit (pencil) icon next to the pipeline.

Step 2: Update the pipeline name

Change the pipeline name if needed. The name must remain unique.

If the name already exists, Kyrios displays an error and prevents saving.

Step 3: Modify stages

You can:

  • Rename stages

  • Add new stages

  • Delete stages

  • Reorder stages by dragging

Reporting visibility can be toggled per stage.

Step 4: Save changes

Click Update to apply changes to the pipeline.


Managing pipeline sharing and permissions

Pipeline permissions control which users or roles can view or update opportunities in a specific pipeline.

Where to find pipeline permissions

Open the pipeline editor and select Sharing & Permissions.

Permission options

You can configure access using one of the following modes:

  • Share with all users (view-only or editable)

  • Share with selected users

  • Exclude specific users

Admins always retain full access.

Important permission rules

  • Users cannot access opportunities in pipelines they do not have permission for

  • Permissions can be assigned at the user or role level

  • Pipeline access changes are recorded in Audit Logs

  • Users who own open opportunities must be reassigned before being excluded


Duplicate pipeline and stage name rules

Kyrios prevents duplicate pipeline and stage names to maintain clean reporting and automation logic.

What is restricted

  • Creating a pipeline with an existing pipeline name

  • Adding or renaming a stage to a name that already exists in the same pipeline

What is allowed

  • Existing pipelines and stages created before this rule remain unchanged

Error behavior

If a duplicate name is used, Kyrios blocks saving and displays an error message.


Common issues and fixes

Error: “A pipeline with this name exists”

Cause: The pipeline name is already in use.

Fix: Enter a unique pipeline name before saving.

Cannot exclude a user from a pipeline

Cause: The user owns one or more open opportunities in the pipeline.

Fix: Reassign the opportunities to another user, then update permissions.

Stages not appearing in reports

Cause: Reporting options are disabled for the stage.

Fix: Edit the pipeline and enable Funnel Chart or Stage Distribution for the stage.
