Who This Is For / When to Use
This article is for users building sales or CRM workflows who need precise control over opportunities, including creating new deals, updating existing ones, assigning owners, managing followers, or cleaning up pipelines automatically.
What Opportunity Workflow Actions Do
Opportunity workflow actions control how Kyrios finds, creates, updates, assigns, and removes opportunities inside pipelines. Each action performs a single, specific operation, ensuring workflows remain predictable, auditable, and easy to troubleshoot.
Find Opportunity
The Find Opportunity action locates an existing opportunity for the contact based on defined criteria and makes it available to later workflow steps.
You can search for the most recently created or earliest opportunity and apply field-based filters such as opportunity name, tags, or other attributes.
Use this action when:
A workflow must update or remove a specific existing opportunity.
Later actions depend on an already-created deal.
Create Opportunity
The Create Opportunity action generates a new opportunity in a selected pipeline and stage using predefined field values.
If duplicate opportunities are disabled for the pipeline and a matching opportunity already exists, the action will not execute.
Key configuration options:
Pipeline and pipeline stage
Opportunity name, value, source, and status
Duplicate opportunity handling
Update Opportunity
The Update Opportunity action modifies an existing opportunity’s fields or stage.
If a Find Opportunity step exists earlier in the workflow, Kyrios updates the matched opportunity. If not, it updates the opportunity that triggered the workflow. If no opportunity is found, the action is skipped.
Optional behavior:
Allow movement to a previous pipeline stage
Add Owner to Opportunity
The Add Owner to Opportunity action assigns a user as the owner of an opportunity.
If contact and opportunity ownership syncing is enabled, both records update together. Otherwise, only the opportunity owner changes.
Optional setting:
Apply only to unassigned opportunities
Remove Owner from Opportunity
The Remove Owner from Opportunity action clears any assigned owner, leaving the opportunity unassigned.
This is commonly used before reassignment or when redistributing deals across teams.
Add Follower(s) to Opportunity
The Add Follower(s) to Opportunity action adds one or more users as followers so they receive updates without being owners.
Followers can monitor progress without triggering ownership changes or duplicate notifications.
Remove Follower(s) from Opportunity
The Remove Contact Followers action removes specific users or all users as followers from the contact or related opportunities.
This helps reduce notification noise and keeps visibility limited to relevant stakeholders.
Remove Opportunity
The Remove Opportunity action deletes opportunities from a pipeline.
You can choose to remove:
The opportunity that triggered the workflow
The opportunity found in a previous Find Opportunity step
All opportunities for the contact in the selected pipeline
Deprecation Notice: Create or Update Opportunity
The Create or Update Opportunity action is deprecated and replaced by separate
Create Opportunity and Update Opportunity actions.
Existing workflows using the deprecated action continue to function, but new workflows should use the dedicated actions for better control and future compatibility.
How to Add Opportunity Actions to a Workflow
Adding opportunity actions follows the same workflow-building process across all action types.
Navigate to Automation → Workflows.
Click Create Workflow or open an existing workflow for editing.
Add a trigger and select the required opportunity action.
Configure fields and save the action.
Test the workflow before publishing.
Testing Opportunity Workflows
Testing ensures opportunity actions behave correctly before going live.
Use the Test Workflow option to run a contact through the workflow and verify opportunity creation, updates, assignments, or removals.
Common Issues and Fixes
Opportunity not updated
Ensure a Find Opportunity step exists or the workflow is triggered by an opportunity.
Duplicate opportunity created
Verify duplicate opportunity settings at the pipeline level.
Owner not assigned correctly
Check ownership sync settings and whether “only apply to unassigned” is enabled.
